    The Project Manager and Business Analyst works within cross-functional teams at UW Medicine Advancement managing outlining and implementing project plans focused on campaign-preparedness and pipeline development of new donors to UW Medicine and the UW School of Medicine. This includes large-scale projects involving principal giving prospects, prospect discovery, and large-scale systems evaluations. This role learns and masters the existing business processes at UW Medicine Advancement and identifies process improvements, gathers and documents requirements, liaises between stakeholders and team members, and leads projects from inception to completion with specific deadlines. This position reports to the Assistant Vice President for Pipeline Strategy and Campaign Analytics.

    This position will evaluate whether project requests fit within the larger goals of UW Medicine Advancement, as laid out by UWMA leadership, and in consultation with the Assistant Vice President. This includes projects across UW Medicine Advancement, collaborative projects with University Advancement, and in collaboration with other project management work being done that directly supports lead up and implementation of the next capital fundraising campaign. Additionally, the Project Manager will work on larger scale data governance projects and retention and compliance projects.

    DUTIES AND RESPONSIBILITIES

    Project Management (50%)

    • Manage fundraising projects across UW Medicine Advancement (UWMA), including large-scale projects involving principal giving prospects, prospect discovery, large-scale systems evaluations, technology adoption, and data governance.
    • Develop detailed project plans within Microsoft Project, or a similar project management tool, based on information collected during business analysis, with delegated tasks communicated to project members, as well as scheduling frequent sprints or check-ins to distribute future work and updates.
    • Proactively schedule status updates with key project stakeholders, identifying any potential roadblocks, as well as checking in on the agreed upon project timeline.
    • Collaborate on communication plans centered around project rollout and completion, including strategies around change management and adoption.
    • Make recommendations to UWMA leadership about budget needs for each project, including creating detailed budget allotment requests.
    • Author project charters and gain leadership buy-in on project plans.
    • Create detailed project plans in working with subject matter experts within UWMA and with campus partners.
    • Collaborate with other project management roles in UWMA to ensure effective timelines and resource allocation.

    Business Analysis (40%)

    • Develop an intake process for project requests that identifies the scope, urgency and impact of the project.
    • Review information gathered from this intake process to evaluate the business need and impact of the request.
    • Create a business analysis evaluation that highlights the resources (both in time and budget) projected to be needed to complete the project, as well as analysis of the overall impact of the project, and how it pushes forward the needs of the department relative to the investment of resources needed.
    • Provide analytical guidance and support at a programmatic level including mapping and documentation of business processes.
    • Identify potential risks and obstacles which may hinder successful completion of deliverables and achievement of project goals through interviews with stakeholders and subject matter experts, as well as review of previous iterations of a project request.
    • Evaluate processes, identify improvement opportunities, and implement required updates/enhancements.
    • Manage high-volume workloads by multi-tasking, coordinating with peers and communicating with customers as required.
    • Balance complex and competing priorities in a deadline-driven environment.

    MINIMUM REQUIREMENTS

    • Bachelor's degree.
    • Three years of experience in project management or related field.

    Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

    ADDITIONAL REQUIREMENTS

    • Project management experience, including accountability for project scope, timeline, status, and overall project success.

    • Demonstrated ability to work on a team: mindfulness of deadlines, respect for varying skillsets, ability to juggle priorities, and willingness to do a variety of tasks, including administrative ones.
    • Strong organizational skills and attention to detail.
    • Competency in Microsoft applications including Project, Word, Excel, PowerPoint, and Visio.

    DESIRED QUALIFICATIONS

    • Ability to perform data analysis.
    • Knowledge of alumni relations/development/advancement principles.
    • Knowledge of UW Advancement policies and procedures, including use of the development database software Tandem.
    • Demonstrated flexibility and initiative to work on a variety of tasks and with a wide range of people.
    • Demonstrated creativity, top organizational ability and strict attention to detail.
