    Description

    C-Change Conversations is seeking a part-time Executive Assistant to support the organization’s administrative needs, with particular focus given to supporting the President. This position will report to the President and will work in coordination with other staff and team members.

    This position is a consulting role that will be compensated on an hourly basis. The Executive Assistant will be expected to work in the Princeton area one day per week (3-4 hours) and remotely for the balance of the time. This role has a flexible schedule with the majority of work hours expected Monday through Friday between the hours of 9 a.m.-5 p.m. Staffing of evening or weekend events may occasionally be required. C-Change Conversations is located in Princeton, New Jersey.

    Job responsibilities

    • Support the president with scheduling and maintaining her calendar, email organization, and technology needs
    • Coordinate all logistics (travel, lodging, etc.) for the president’s travel; support other presenters with travel logistics as required
    • Record meeting minutes, including required follow-up tasks, and communicate summaries with attendees
    • Maintain the records of presentation agreements (event contracts) and organization’s master calendar of engagements
    • Help maintain presentation calendar and tracking details for events
    • Oversee presentation surveys: Assure surveys are available, provide to presenters, collect completed surveys, and enter feedback data into a tracking document
    • Keep Google Workspace and Microsoft 365 drives cataloged and organized
    • Work with the chief operating officer to organize board and committee meetings
    • Attend weekly staff meetings and maintain a running list of required actions
    • Create documents, such as presentation agreements, and forms
    • Communicate with outside vendors
    • Assist with administrative duties as assigned (i.e. year-end solicitation mailings, database cleaning, mailing lists in MailChimp and Eleo, etc.)
    • Assist with fundraising tasks, such as data entry, thank you letters and correspondence
    • Assist the board treasurer with accounting needs, such as the collection of reimbursement forms, data tracking of pledges, collection of documentation for tax purposes etc.
    • Assist with the development and implementation of in-person educational events

    Qualifications preferred

    • Bachelor’s degree in marketing, communications, environmental science, sustainability or related field and/or equivalent work experience
    • Minimum 2-3 years of administrative experience
    • A team player with the ability to foster deep collaboration while working remotely
    • The ideal candidate will have strong skills in problem-solving, time management, organization, as well as excellent interpersonal skills
    • Experience working in Google Workspace and Microsoft 365. Comfortable in learning new platforms.
