    Description

    Overview: As a Senior Animal Adoption Coordinator at The Milo Foundation, you will support our team by being an advocate for our animals in adoptions and fostering process, helping clients and alerting management to urgent issues that arise. You will be supporting the adoptions process by screening and ensuring procedures for adoptions and fostering are followed. This role combines clerical responsibilities with engaging with and walking dogs. This role also includes helping with coordination of-our Adoption Events. Role requires multitasking, adaptability, and a basic understanding of animal handling.

    Key Responsibilities:

    • Administrative Duties: Handle clerical tasks including animal intake, adoption, and foster agreements, medical records, follow-ups, and payment processing. Manage written correspondence and communication with clients and donors. Contact adopters and fosters methodically on upcoming medical procedures such as vaccinations.
    • Record keeping: Maintain accurate and organized records for all animals, including intake paperwork, medical history, and care notes. Follow up regularly with fosters in order to maintain animal bios and photos.
    • Customer Service: Provide excellent service by greeting visitors, conducting animal introductions, and responding to inquiries via phone, email, or in person.
    • Support Adoption Events Management: Help with organizing and promoting events, ensuring safety of our animals and processing adoptions
    • Animal Care: Work closely with animal care team and provide support as needed such as feeding puppies and medicating animals as needed.
    • Facility Maintenance: Ensure front area looks pristine and donations items are shelved accordingly.
    • Team Collaboration: Work with and direct volunteers, maintaining a positive and cooperative environment. Assist our social media team by maintaining up to date information including downloading of animal videos.
    • Stay Informed: Keep abreast of organizational needs and engage with our animal care team to ensure we are posting accurate information on our animals. Your role is to be an advocate for our animals and ensure good placements to the extent within our control.
    • Other Duties: Assist with additional tasks as assigned by management such as animal transportation to the veterinary clinic.

    Required Skills and Experience:

    • Clerical Experience: Minimum of two years in an office environment with proficiency in computer software and office equipment.
    • Customer Service: At least one year of experience interacting with the public and handling transactions.
    • Animal Care Experience: Minimum of one year working with dogs and cats, including those with health issues or behavioral concerns.
    • Technical Skills: Familiarity with Microsoft Office and databases; creating social media postings, ability to quickly learn new systems.
    • Interpersonal Skills: Strong communication, discretion, and a professional demeanor.
    • Flexibility and Reliability: Ability to adapt, multitask, and meet deadlines in a fast-paced environment.
    • Advocacy: Ability to professionally represent The Milo Foundation’s mission and promote donations.
    • Driver’s License: Valid license and access to a personal vehicle.

    Physical Requirements:

    • Lift up to 40 pounds.
    • Perform strenuous activities including lifting, carrying, and organizing.
    • Mobility to navigate the facility and handle animals including walking dogs that can pull.
    • Ability to work indoors and outdoors in various weather conditions.
    • Exposure to animals and varying noise levels.
