    Description

    Position Summary

    The Executive Assistant is a highly effective professional who manages the day-to- day activities of the President. This role is critical to the efficient functioning of our executive officer.

    This individual prioritizes and manages scheduling of all internal and external stakeholder meetings with the President including critical contacts with our funders, prospective donors, and partner organizations.

    Key Responsibilities

    • Provide day-to-day administrative support to CLC’s President.
    • Manage the President’s calendars.
    • Coordinate and schedule meetings with staff, donors, partners, journalists, and other strategic stakeholders, including sending calendar invitations, reserving conference rooms, A/V needs, and ensuring preparatory materials are received in advance to fully prepare the President, all in coordination with other CLC staff as appropriate.
    • Serve as a liaison between the Executive Team, internal teams, and external stakeholders by providing efficient communication, relationship management skills, and demonstrating leadership to maintain credibility, trust, and support among all parties.
    • Anticipate logistical issues and problem solve on behalf of the President.
    • Book travel and manage travel logistics and expenses, and make meeting and restaurant arrangements
    • Monitor President’s CLC email to ensure appropriate responses are made and requests properly prioritized
    • Prioritize conflicting needs; handle matters independently, expeditiously, and proactively, and follow-through on projects to ensure successful completion, often with short deadlines.
    • Support special projects as needed.

    Typical day will include:

    • Managing President’s schedule and prioritizing their time
    • Monitoring and prioritizing email and request for President’s review, input, appearances
    • Communicating via email and phone to a variety of internal and external contacts
    • Coordinating with communications team and speech writer for President speaking engagements and social media
    • Coordinating with development team for President’s development events and communications
    • Coordinating with operations team on President’s involvement in Board of Trustee events, and with the Vice President of Finance and Operations on Board matters
    • Serve as the gatekeeper for all President’s requests and ensure the executive office is operating smoothly

    • Ability to demonstrate diligence and exceptional organization in managing schedules, priorities, and tasks, ensuring seamless support for executive operations.
