    Employment Status: Full-time exempt (An average of 40 hours per week, but as an exempt employee this position will be expected to work as many hours as it takes to fulfill their job responsibilities)

    Location: This is a remote position. We are a California-based organization, and this individual will be expected to work predominantly on a Pacific time zone schedule.

    Position Overview:

    The Manager, Executive Office to the CEO works closely with the CEO and plays a key role in ensuring that the CEO can fully deliver on responsibilities, through proactive and smart project management, research and briefing, relationship stewardship and hands-on logistical support. The Manager, Executive Office supports the CEO on matters with the Board of Directors and senior management teams, organizes and coordinates executive outreach and external relations efforts, and oversees special projects. The Manager, Executive Office is a dynamic role responsible for supporting the CEO in meeting preparation and facilitation and daily administrative tasks. The Manager, Executive Office is highly organized and detail-oriented, an excellent communicator, and able to handle a wide variety of activities and confidential matters with discretion. In addition, this position supports the COO as needed in managing executive operations; supporting c3 and c4 board activities and communications; leading special projects; and serving as a liaison between the executive office and staff within and outside of Cultural Power/CEL.

    This position reports to the President and CEO and regulars collaborates throughout the organization.

    Key Responsibilities:

    Administrative Support

    • Build and lead the daily operations of the office of the CEO
    • Act as an extension of the CEO as an informational funnel, filter, and facilitator with both internal and external stakeholders
    • Assess all inquiries directed to the CEO, determine priority and the proper course of action
    • Act as the point of contact for the CEO’s leadership team, triage all incoming requests for the CEO’s time, and ensure that the CEO’s calendar is aligned with the priorities of the organization
    • Build and run cadence for internal and external meetings, including material creation, distribution, and follow-up
    • Track high-priority initiatives for the CEO to identify any potential obstacles
    • Lead cross-functional initiatives, facilitate special projects, and ensure action items are executed on behalf of the CEO
    • Serve as a tactical and operational partner to the CEO, standing in on meetings and following up on action items accordingly
    • Manage key relationships and build a process to track and nurture key stakeholders, investors, and clients
    • Promote team integration as well as cross-functional communication and collaboration
    • Provide administrative/tactical support with regard to calendar management, travel arrangements, and expense reporting

    Special Projects

    • Oversee the coordination and prioritization of events for the C-Suite and Leadership team
    • Guarantee the organization's representation at external events aligns with its mission and strategic objectives.
    • Provide tactical support to implement ideas for new initiatives and facilitate appropriate hand-offs to the right team
    • Manage special projects for the CEO;
    • Support and coordinate retreats and projects with other departments;
    • Project manage special initiatives on behalf of the Office of the CEO
    • Prepare briefings, talking points, presentations and proposals for internal and external meetings
    • Conduct and assemble research, track other program models and generate ideas on a variety of topics;
    • Research and prepare briefing materials for key materials and presentations;
    • Participate in meetings, taskforces and workgroups both internally externally;

    Board Liaison

    • Manage the coordination of board meetings, including preparing and distributing agendas, reports, and maintaining the board calendar.
    • Organize and oversee the logistics of board retreats, including travel arrangements and accommodations.
    • Serve as the primary administrator for board recruitment, maintaining all pertinent board documents and ensuring compliance with organizational bylaws.
    • Foster collaboration within the board and facilitate the development of policies as per the board's requirements (e.g., drafting an attendance policy or other policies as needed).
    • Supervise and ensure proper maintenance of board record keeping and documentation, including meeting minutes, resolutions, and official correspondences.
    • Schedule, prepare materials and notes, and ensure follow-up for various Board, leadership and staff meetings;
    • Draft and edit various documents including internal/external correspondence and stakeholder engagement;
    • Other responsibilities, as required.

    Support to the COO

    • Provide backup administrative support to the COO when needed.
    • Assist in the planning and execution of board of directors’ meetings; draft board communications; and develop and manage a system for maintaining, tracking, and updating board governing documents, minutes, files, folders, etc.
    • Maintain discretion and confidentiality in relationships with all board members.
    • Manage a range of projects in collaboration with other staff throughout the organization.

    Qualifications:

    The candidate must have:

    • 5+ years relevant experience.
    • Experience managing external vendor relationships.
    • Excellent oral, written, and interpersonal communication skills.
    • Keen attention to detail.
    • Ability to multi-task and work well under pressure.
    • Proficiency in Microsoft Office and internet research.
    • Proficiency in taking meeting notes/minutes concisely, accurately and timely.
    • Ability to maintain confidentiality and a high level of discretion around sensitive matters.
    • Working knowledge of Salesforce or similar CRM and experience using a system to help drive organizational efficiency and performance.
    • Prior experience assisting successful enterprise-wide change management processes and outcomes.
    • Track record of an effective, trusting collaboration with a CEO.
    • Strong project management skills and ability to maintain high-level focus, delegating tasks while keeping momentum on projects.
    • Exceptional written, verbal, interpersonal, and presentation skills
    • Cultural fluency and direct experience working with BIPOC communities.
