    Description

    SEA-MW is seeking a part-time Association Manager to help manage its organizational functions. The Manager will work closely with the board of directors to support their efforts and strategic planning to fulfill the mission of the association.

    SEA-MW Association Manager anticipated duties:

    EVENT LOGISTICS

    • Coordinate and maintain the organization’s calendar. Assist committees in scheduling event dates to avoid conflicts with other member events.
    • Attend monthly Board meetings (virtual option), which typically occur from September through June.
    • Source and book venues around the DC metro region for approximately five dinner meetings per year.
    • Assist with planning and organizing events/activities, including board and membership meetings, special events, committee outings, and the annual awards gala.

    FINANCIAL BOOKKEEPING

    • Maintain the annual budget/finances under the direction of the Treasurer.
      • Track payments for meeting venues, speakers, gala costs, member dues, etc. Oversee transactions. (Note, only the Treasurer is permitted to initiate payments).
      • Maintain Financial log in Quicken for both the Main Organization and the YMG (Young Member Group), including downloading financial statements and categorizing data.
      • Report account balances at monthly board meetings.
      • Resolve member payment issues.
      • File Biennial Report with DC.
      • Complete and file annual Federal returns.
      • Report year end finances to the Board.
      • Miscellaneous financial tasks such as tracking when payments are due for renewal of various software tools e.g. Quicken, Wild Apricot, AffiniPay, Zoom, email aliases, notifying the board of any changes in subscription fees, etc.

    MEDIA/COMMUNICATIONS

    • Manage online presence of the organization under the direction of the Media Committee.
      • Create consolidated emails/monthly newsletter to members advertising upcoming events and other announcements.
      • Create events on the website and assist registrants.
      • Issue PDH (Professional Development Hours) certificates to event participants.
      • Set up Zoom meetings, run the SEA-MW Zoom account during virtual events, and generate live polls as needed.
      • Monitor the SEA-MW media email and assist in addressing membership questions.
      • Assist in overseeing the SEA-MW LinkedIn.
      • Manage the SEA-MW website by setting up event registrations, manage member permissions, update pages, and update list of board members and committees.
      • Maintain committee pages on the website and work with committees to update info bi-annually.
      • Assist the Membership Coordinator with annual membership renewal process.

    Experience Requirements: 3 years minimum experience in related work preferred, and/or Associate Degree or higher in organizational management, public administration, human services or related field.

    Job Qualifications:

    1. The successful candidate is a results-driven individual with a sincere interest in furthering the mission of SEA-MW.
    2. Excellent interpersonal skills and the ability to work constructively with the board of directors, association members and industry professionals.
    3. Strong written and oral communication skills.
    4. Computer proficiency, particularly in Microsoft Office applications including Word, Excel, PowerPoint, Outlook and use of cloud shared documents in Google Drive. General understanding of user-friendly website platforms is preferred, and a willingness to learn SEA-MW website/database platform Wild Apricot.

    Location: SEA-MW Association Manager has the ability to work remotely. All SEA-MW files are maintained on a Google cloud drive. There are opportunities to attend about seven SEA-MW Board meetings around the DC metro region and the annual gala in DC, but in-person attendance is not required.

    Conditions: Applicant must have the ability to meet monthly with the SEA-MW Board, at least virtually, and manage the logistics of the group. Applicants must be able to manage the email communication on a weekly basis or more frequently around big events. Most events and meetings occur in the evenings, some meetings occur during lunchtime, and others vary. Applicant must use their own personal computer to perform the work.

    Start Date: June 1, 2025

    Hours: Average 20 hours per month
