    Registrar and Development Associate

    Reports to Development Director

    Part-Time, Hourly

    Position Summary:

    The Registrar and Development Associate acts as the first point of contact for everyone entering our school. The Registrar and Development Associate is the point person for daily support needs of teachers, staff, students and parents. They are often the person community members first turn to when they have a question, and therefore the role requires quick problem-solving and a welcoming disposition. Administratively, the Registrar and Development Associate maintains student records and supports the Development Director with events and donor communications.

    Essential Duties and Responsibilities:

    Reception

    • Greet, welcome and direct students and visitors warmly and professionally
    • Walk through all classrooms to collect attendance and ensure everyone has what they need after school begins at 9am
    • Answer phones / voice mail / general info@ email box during business hours
    • Provide student support for children visiting the office with various needs - which includes acting as point of contact for illnesses and injuries
    • Maintain organized, welcome front reception area
    • Receive packages and deliveries and distribute them to their appropriate recipients across our expansive campus
    • Step into any helpful task as needs arise
    • Maintain professional decorum and confidentiality when receiving sensitive information from adults who pass through and want to vent

    Registrar Administration

    • Maintain attendance records for students and staff in collaboration with Program Coordinators
    • Maintain student files and medical records in collaboration with school administration
    • Manage student information system (Ravenna) and parent/teacher communication system (ParentSquare), troubleshooting as needed
    • Create weekly internal newsletter with ParentSquare template
    • Maintain all-school calendar
    • Oversee Morning/Afternoon drop off and pick up
    • Assist with maintaining and ordering office and custodial supplies

    Development Administration

    • Manage Scrip program and delivery
    • Support Development Director with donor communications
    • Support Development Director with special events including the Winter Market, Grandparent’s and Honored Guests Day, and the Spring Auction
    • Support Development Director with maintaining donor database

    Qualifications

    • Warm and welcoming demeanor
    • Excellent ommunication skills with both adults and children
    • Ability to multi-task while being available for any immediate needs
    • Comfort working with various database and online communication systems
    • Experience working in educational environment preferred
    • Experience with event planning and management, a plus
    • Ability to hold confidential information

    Specifications

    • Compensation: $30 per hour
    • Hours: School days 8am-3:30pm (approximately 170 school days per year) plus 10-15 hours per week over the summer months, with a flexible schedule. Some weekend events.
    • Position requires: Livescan background check, tuberculosis screening, CPR training, Mandated Reporter training (online) and Sexual Harassment training (online)
