    JOB SUMMARY & KEY PRIORITIES

    Active Minds is seeking a highly organized individual with experience in event planning and an eye for detail. The Active Minds Speakers program is composed of 25+ professional speakers and trainers who present nationally, both in-person and virtually. The Program Associate, Speakers, along with a team, will independently oversee the booking and execution of a wide array of professional events per year. The Community Programs Team ensures a professional and superior client experience with the Active Minds Speakers program from contract signing through post-event follow-up. This position reports to Active Minds’ Events Manager.

    KEY RESULTS

    • Contract and Booking Logistics: With support from the Sales Manager. execute the management of the contracting and booking process in a efficient and streamlined way.
    • Virtual and In-Person Event Coordination: With support from the Event Manager, handle all post-contract client experience tasks: Conduct speaker planning calls, book travel and arrangements, and manage other related speaker/trainer preparations before in-person and virtual bookings.
    • Virtual Event Management: Responsible for the management and successful execution of virtual event bookings and providing meeting support to the speaker and client during online meetings.
    • Special Project Management: Support conceptualization and ensure the successful execution of special projects relating to the Speakers program including, but not limited to, the Virtual Open House, Community Initiatives Conferences/In-Person Events, and other tasks.
    • Speaker Liaison: Maintain a strong connection with professional Active Minds Speakers and Trainers to ensure program integrity and team morale.
    • Programmatic Evaluation and Improvement: In partnership with the Community Programs team, oversee responsibility for the yearly Speaker’s Bureau fiscal year reports and data collection of evaluations, feedback, and testimonials.
    • Salesforce Management: Maintain and track organized records of event details, communication, evaluations, and status in the organization-wide CRM system, Salesforce, and Dropbox.
    • Departmental/Organization-wide: Work with other programs and teams as needed. Ensure relevant milestones delineated in the Active Minds strategic plan are met or exceeded on time. As needed, represent Active Minds at conferences, meetings, trainings, and other events. Participate in organization-wide miscellaneous duties as needed, including supporting the National Conference and participating on cross-department anti-racism and inclusion committees.

    QUALIFICATIONS

    About You

    • Recent Grad or at least 1+ years of experience in hospitality, event management, sales and marketing, customer service, or related professional areas
    • Prior experience working with virtual event platforms, including but not limited to Zoom, Google, and Microsoft Teams
    • Prior experience with CRM platform (preferably Salesforce)
    • Well-organized and detail-oriented, with excellent multi-tasking abilities
    • Excellent written and verbal communication skills
    • Ability to work effectively as part of a team as well as individually to achieve desired results

    COMPENSATION

    This position offers an initial salary of $50,000 along with robust benefits. The starting pay for this position is equal to others at the same level throughout the organization. Candidates whose experience meets both the minimum and preferred qualifications may be considered for a starting salary that exceeds the current amount. The role sits within Active Minds Level 1 salary band, and as such, has the potential to grow to $65,000 over time. FLSA Status: Exempt.
