    MISSION STATEMENT: To help transform the social and economic conditions in South Los Angeles that foster addiction, crime, violence, and poverty by building a community institution capable of involving thousands in creating, influencing, and changing public policy.

    ORGANIZATION OVERVIEW: Community Coalition (CoCo) is a non-profit social justice organization founded by now-Mayor Karen Bass that works to address social and economic conditions in South LA by providing a platform for everyday residents to fight for policy solutions that build up the community. Since 1990, CoCo has built a groundbreaking, community-driven approach to creating change. We elevate our members' voices, shift power to the community, and tackle the root causes of poverty, crime, and violence. CoCo's projects and victories include, among others:

    • Leading efforts to improve the built environment for healthier community outcomes that center current residents, such as the following, among others:
    • Ensuring community voice in local development efforts
    • Advancing campaigns and partnerships to promote park equity and transform land into community assets
    • Stopping the expansion, and curbing the overconcentration of liquor stores in South LA
    • Innovating and implementing violence prevention programs and strategies
    • Leading child welfare campaigns to help keep more families together
    • Bringing joy and healing through multifaceted arts programming that creates spaces for everyday people to get involved in pertinent community issues and opportunities

    SUMMARY STATEMENT: CoCo is seeking an experienced, professional, and highly organized Executive Assistant to support its President and CEO. The ideal candidate will possess exceptional communication and organizational skills and demonstrate the ability to handle multiple tasks and projects with a high level of accuracy and confidentiality.

    ESSENTIAL DUTIES AND RESPONSIBILITIES (Other duties may be assigned):

    1. Provide administrative, organizational, and scheduling structure and support to the President and CEO
    2. Staff President and CEO as requested at external meetings by providing transportation, taking notes, and tracking commitments for follow-through.
    3. Organize and coordinate special events, board meetings, and other assigned functions.
    4. Attend Board meetings and provide comprehensive project and administrative support, where relevant. This may include managing the logistical details for in-person retreats; preparing agendas and supporting materials, recording and preparing meeting minutes, maintaining and updating Board policy manuals and handbooks, supporting the Board's ability to follow-up on key tasks via streamlining communication/scheduling, and keeping official records of the minutes for publication.
    5. Maintain appointment schedules and calendars, provide reminders as appropriate, and coordinate travel arrangements.
    6. Coordinate and organize meetings for executive team members, including notification to prospective attendees, set-up/logistics (i.e. food ordering, technology access), pre and post-meeting correspondence, meeting minutes and records, and any required follow-up.
    7. Assist with the preparation and distribution of meeting agendas, minutes, and materials.
    8. Draft correspondence for the President and CEO
    9. Coordinate with the President and CEO to ensure timely and effective follow-up on key action items with external partners and stakeholders (i.e. community members, elected officials, funders)
    10. Receive and screen communications including telephone calls, mail, and e-mail messages, and provide assistance using independent judgment to determine those requiring priority attention as appropriate
    11. Ensure the President and CEO is prepared and timely for meetings and commitments, which will be facilitated by effective calendar management (i.e. ensuring there is adequate travel time), proactively sharing research and briefs, providing notice around next meetings, etc.
    12. Initiate and respond to written and verbal correspondence, including composition, editing, and distribution on behalf of the President and CEO
    13. Create and maintain a system for organizing and storing both electronic and hardcopy information and records, and implement record retention policies and procedures.
    14. Arrange for meals and myriad errands as requested.
    15. Perform and support special projects/programming and other duties, as assigned
    16. Support organizing and community outreach activities as assigned.
    17. Complete and reconcile expense reports.

    QUALIFICATIONS: The ideal candidate will have at least a 3+ year track record of successfully supporting an executive, ideally the President and CEO of an organization; sound knowledge of the social and economic landscape in South Los Angeles; experience working across teams to accomplish a collective goal; at least a Bachelors degree.

    Skills:

    • Outstanding organizational and project management skills, with great attention to detail and the ability to work under pressure with a high degree of accuracy.
    • Expertise in Microsoft Office, and Google Suite platforms.
    • Ability to work autonomously and as a member of a team.
    • Ability to handle multiple projects simultaneously and meet frequent deadlines.
    • Ability to prioritize and set goals by developing weekly, monthly, and quarterly work plans.
    • Ease at managing competing priorities and strategically problem-solving.
    • Skill in research and analysis.
    • Ability to maintain strict confidentiality.
    • Exemplary customer service skills including the ability to identify needs, provide prompt response, and exercise patience, respect, and professionalism in all interactions.
