    The Family Center (TFC) is a nonprofit providing behavioral and mental health services, as well as social and legal services, to families affected by illness, crisis and loss. The Family Center has pioneered programming design and research to address the myriad of issues that challenge vulnerable New Yorkers and their families.     The Family Center’s is looking for a Full-Time Administrative Assistant, who will provide administrative support to the Behavioral Health Services department. They will report to the Deputy Executive Director of Behavioral Health and Support Services.

    Primary Responsibilities

    • Greet all clients in a friendly and professional manner. Handle check-in procedures and client registration
    • Translate behavioral health services provided into codes that can be reimbursed by payers
    • Transmit coded client treatment information to outsourced fiscal company and other recipients
    • Check client insurance coverage with insurance company and verifying client eligibility for services
    • Communicate with insurance companies, clients and outsourced fiscal company to assist with resolving any billing issues
    • Handle confidential information, including client records, with a high degree of integrity and adhering to all HIPAA and confidentiality policies and practices
    • Participate in all mandatory trainings and attend in-service training as required
    • Assist with administrative reviews and audits as necessary
    • Answer all calls and route as necessary
    • Perform receptionist, clerical and administrative duties as required
    • Book, coordinate, and prepare rooms for consultations and meetings, and maintain calendars
    • Handle mail and deliveries, which includes going to the post office and other mailing centers
    • Keep waiting areas and front offices clean and presentable
    • Open and close the building as needed
    • Data entry
    • Work at the third-floor reception area as needed, which may include additional operations or administrative duties
    • Other duties as assigned

    Required Qualifications

    • High School Diploma or GED
    • At least 2 years of receptionist, administrative or similar experience
    • Excellent written and verbal communication skills, including the ability to communicate clearly
    • Superb attention to detail, including the ability to catch and fix errors
    • Solid computer skills, especially Excel
    • Flexible and a team player
    • Excellent judgment and problem solving skills
    • Self-motivated and self-directed
    • Ability to prioritize tasks and responsibilities and complete duties in the allotted time
    • Must be able to remain stationed at a desk for long periods of time and occasionally lift up to 25 pounds

    Desired Qualifications

    • Associate’s Degree
    • Fluency or proficiency in Spanish
    • Familiarity with CPT and ICD-10 codes for Mental and Behavioral Health services

    Location: This position is fully on-site and is not eligible for remote work. Our office is located at 493 Nostrand Avenue, Brooklyn, NY, which is conveniently located steps away from several public transportation options.

    Starting Pay Range: $40,000.00-$45,000.00 per year

    Schedule: Full-time, 35 hours per week. Must be available for flexible scheduling. Work hours may range from 8am-7pm. Must be available to work occasional weekends as needed
