    DKMS is one of the most significant organizations fighting blood cancers and blood diseases globally. With offices in seven countries, including India and Africa, and over 12.5 million donors registered worldwide, DKMS has facilitated over 120,000 transplants in 60 countries. However, our work continues for the thousands of patients worldwide in need of a lifesaving stem cell transplant. DKMS works hard to provide patients in developing countries access to the right treatments, like at the Mechtild Harf Unit in India.

    POSITION SUMMARY

    The Fundraising and Project Assistant will support the fundraising initiatives for the organization in the US. The Assistant will be responsible for the administrative needs for the department, including gift processing, data entry, and general department support.

    The Assistant plays a key role in ensuring the smooth operation of fundraising and project-related activities within the organization. This position is responsible for a wide range of administrative tasks, including maintaining donor databases, organizing files, managing calendars, and assisting with the preparation of reports and presentations. Some event-related support may be required—coordinating venues, tracking RSVPs, and preparing materials for meetings, campaigns, and donor outreach.

    In addition to providing day-to-day administrative support, the Fundraising & Project Assistant conducts basic research on prospective funding opportunities, oversees data entry and recordkeeping, and collaborates with team members to streamline workflows. With a strong attention to detail and the ability to prioritize multiple demands, this role helps maintain clear communication among staff, volunteers, and external partners. The ideal candidate is highly organized, proactive, and eager to contribute to an efficient, mission-driven environment that advances the organization’s programs and fundraising goals.We are seeking a motivated individual with strong administrative skills, a keen eye for detail, and the adaptability to handle changing priorities. While a background in executive support is preferred, we encourage applicants with experience in a broad range of support roles (e.g., non-profit programs, development, PR, marketing, event production). A proven ability to learn on the job, manage multiple tasks efficiently, and build positive relationships with diverse stakeholders is essential.

    This position will frequently interface with organizational VIPs—requiring excellent communication skills, professionalism, and dependability. The ideal candidate is open to flexible work schedules and able to coordinate with external partners and other DKMS offices.     RESPONSIBILITES

    Fundraising

     Input received income and coordinate with Finance department

     Prepare and send acknowledgment letters

     Maintain accurate information in Salesforce and pull reports for mailings and analysis

     Conduct donor and prospect research

     Manage schedule of grant proposals, reports, and donor communications

     Conduct research on new grant opportunities

     Write drafts of donor communications

     Work closely with the Global Special Events Manager to strategically improve support from

    businesses and promote sponsorship opportunities

     Support peer-to-peer fundraising team, from recruitment of new Team DKMS partners to

    establishing fundraising pages, and supporting team members during their fundraising term

    General Administration

     Coordinate meetings (scheduling, distributing support materials, correspondence, meeting

    minutes)

     Assist in the production of documents

     Provide general office support as needed

    Communications

     Maintain and update contact lists

     Distribute donor communications or other materials as needed

     Draft social media content as needed

    Qualifications

     Excellent written and verbal communication skills, especially as it relates to collaborating

    with team members remotely and speaking with sponsors over the phone

     Possess strong interpersonal skills and high emotional intelligence

     Detail-oriented and organized

     Ability to multitask, prioritize, and problem-solve to meet deadlines

     Proficiency in Microsoft Office Suite (i.e. Word, Excel, PowerPoint, etc.)

     Detailed knowledge and experience with Salesforce software or another database

    REQUIREMENTS/QUALIFICATIONS

     Bachelor’s degree (or equivalent work experience)

     Minimum 1-2 years of professional experience, preferably in fundraising, development, or

    administrative support

     Highly organized and resourceful

     Must be proactive and detail-oriented

     Proficient with technology

     Proven ability to advance collaboration within the team

     Excellent communication and time management skills

     Adaptability and strong leadership experience
