About the Role
Jobs to Move America (JMA) is seeking a highly organized and adaptable Operations Coordinator to provide critical administrative and operational support to our leadership team. This role will work closely with directors to help manage various projects, streamline workflows, and ensure smooth day-to-day operations. The ideal candidate is proactive, detail-oriented, and comfortable juggling multiple priorities in a fast-paced, mission-driven environment.
This position requires flexibility and a willingness to support various teams across the organization. The Operations Coordinator will play a key role in ensuring efficiency and coordination across departments, contributing to JMA’s mission of advancing economic and racial justice.
What You’ll Do ─ Essential Duties and Responsibilities:
Key Administrative Support:
- Provide administrative and operational support to directors, assisting with scheduling, project coordination, and communications.
- Help manage organizational workflows, ensuring efficiency and alignment with strategic goals.
- Serve as a liaison between different teams, offering support as needed to enhance collaboration and productivity.
- Assist in office management tasks, including vendor coordination, facilities support, and resource management.
- Support internal processes related to finance, and compliance, ensuring smooth day-to-day operations.
- Adapt to evolving priorities, taking the initiative to support various teams as organizational needs shift.
Project and Event Coordination:
- Assist with planning and execution of events, meetings, and training, including booking venues, coordinating travel, and managing logistics.
- Support the implementation of new operational processes and procedures.
- Maintain and update organizational records, including contracts, staff directories, and filing systems.
Finance and Budget Management:
- Work with the finance team to assist with tracking operational expenses and budgets.
- Coordinate with vendors for billing, invoicing, and payments.
- Process check requests, reimbursements, and other financial documentation promptly.
Human Resources Support:
- Assist in the onboarding process for new employees, including setting up workspaces, equipment, and accounts.
- Coordinate staff development initiatives and help organize training sessions or professional development workshops.
- Ensure that HR policies and procedures are communicated to all employees effectively.

Required Qualifications:
- Education & Experience: A combination of relevant education, lived experience, and professional background in business administration, nonprofit management, operations, or a related field. - Administrative & Operations Experience: At least 4 years of experience in office management, operations, or administrative coordination, preferably in a nonprofit or mission-driven environment.
- Commitment to Equity & Inclusion: Strong understanding of and commitment to diversity, equity, and inclusion (DEI) principles, with a willingness to foster an inclusive and accessible workplace.
- Organizational & Time Management Skills: Ability to manage multiple projects, prioritize tasks effectively, and maintain attention to detail in a fast-paced environment.
- Communication & Collaboration: Excellent written and verbal communication skills, with the ability to engage respectfully and effectively with diverse teams, vendors, and stakeholders.
- Technical Skills: Proficiency in Microsoft Office Suite, Google Workspace, and experience with project management or database software. Willingness to learn new systems as needed.
- Adaptability & Problem-Solving: Ability to adapt to changing priorities, take initiative, and find creative solutions to operational challenges.
Preferred Skills:
- Quick learner: Able to easily learn about nonprofit financial processes, including budgeting, grant tracking, and expense reconciliation.
- Familiarity with HR practices, including employee onboarding, training, and compliance.
- Knowledge of facilities management and working with external vendors to support a functional and accessible workspace.

Work Location:

Other Physical Requirements:
- Ability to safely and effectively perform the essential job functions, in compliance with ADA, FMLA, and all applicable federal, state, and local regulations, including meeting both qualitative and quantitative productivity standards.
- Ability to maintain consistent and punctual attendance, including occasional travel to support campaign-related administrative work, by the ADA, FMLA, and organizational policies.
- Must be able to communicate clearly and effectively, both in person and over the phone, with or without reasonable accommodations.
- Capacity to adapt to different working environments, including office settings and campaign sites, while managing various administrative tasks.
- Ability to occasionally lift and transport materials (e.g., campaign supplies, documents) up to 25lbs as part of campaign support duties.
