    About Or Shalom Jewish Community

    Or Shalom Jewish Community is a progressive Reconstructionist synagogue in San Francisco known for its inclusivity, social justice activism, and spiritual creativity. We are a warm and vibrant community of about 175 households that welcomes individuals and families from diverse backgrounds, including interfaith, LGBTQ+, and Jews by choice. From our new home in Bernal Heights, we offer engaging services, educational programs, and community-building events that reflect our commitment to Jewish tradition and modern values.

    Position Overview

    The Administrator plays a key role in ensuring the smooth and effective functioning of Or Shalom, overseeing the day to day operations and working closely with the Rabbi, Board of Directors, and various lay leaders. Key responsibilities will include hands-on office and financial management; ongoing management of ShulCloud synagogue CRM software; communicating with members and facilitating their engagement; supervising part-time office staff; organizing volunteers; and planning and implementing events, religious services, and activities. This position is integral to fostering a culture of respect, collaboration, and integrity within the congregation. Duties may necessitate occasional evening and weekend work. It is a full-time, primarily in-person role; a hybrid schedule with some days worked from home is negotiable.

    Major Duties and Responsibilities

    Leadership and Management

    • Supervises administrative staff and contractors including the part-time administrative assistant and bookkeeper. Delegates appropriate tasks with clear instructions and guidance.
    • Coordinates hiring and onboarding of any staff and contractors, as authorized by and under the direction of the Board and Rabbi.
    • Assists lay leaders with recruiting volunteers and volunteer appreciation.
    • Oversees volunteers who support the office including, but not limited to, assigning tasks.
    • Creates, documents, and maintains office and administrative systems, including computer and physical files.

    Human Resources and Administration

    • Ensures compliance with personnel policies, offer letters, and applicable employment laws.
    • Processes and coordinates payroll and benefits administration.
    • Consults with the Board Personnel Committee on policy implementation and personnel issues.

    Finances

    • Supports the Treasurer and Board by providing organized financial reports for budget planning.
    • Tracks, reconciles, and monitors expenditures to keep within the approved budget.
    • Tracks and follows up on outstanding membership dues, religious school fees and tuition, lifecycle fees, and donations.
    • Approves and processes invoices, payment of bills, and reimbursement requests.

    Meetings

    • Meets regularly with Rabbi, administrative assistant, and Executive Committee liaison.
    • Attends occasional committee, Board, and Executive Committee meetings, as needed.

    Membership

    • Creates and maintains, or delegates and oversees preparation of membership communications materials and informational webpages for potential members, new members, membership retention, resignations, and dues mailings
    • Maintains personal contact with potential or current members.
    • Manages or delegates and oversees the ongoing Healing and Yahrzeit lists

    Communications

    • Creates and maintains, or delegates and oversees all internal and external communications, including weekly newsletter, website, and mailings.
    • Directs inquiries as appropriate to the Rabbi, and/or lay leaders.
    • Communicates and connects with other Jewish, cultural, & administrative organizations.

    Programming and Events

    • Manages or delegates and oversees logistics for events and religious services (including but not limited to Shabbat, High Holidays and major holidays) in coordination with the Rabbi and lay leaders.
    • Oversees process for signing up and participating in all programming for members and guests.
    • Acts as on-site coordinator for all events or delegates the role to others.
    • Coordinates facilities arrangements for events and religious services.
    • Maintains master calendar in concert with the Rabbi.

    Fundraising

    • Assists with fundraising campaigns, including direct mail, digital engagement, and data management (ShulCloud) in collaboration with the Board.

    Technology

    • Serves as point person for ShulCloud, Constant Contact, and other relevant technology applications.
    • Works directly with any IT volunteers and hired tech support, as needed.
    • Maintains and updates, or delegates and oversees entry of membership information into Shulcloud database.

    School

    • Provides support to Head of Youth and Family Education.

    Supervision & Guidance

    The Administrator will be supervised by the Rabbi in day-to-day matters having to do with all aspects of the position. The Administrator will also be supported by the President of theBoard, or a board member designated by the President of the Board.

    Experience & Education

    At least five years of increasingly responsible administrative and supervisory experience is preferred.

    Possession of a Bachelor's degree at minimum is preferred.

    Other Significant Personal Qualities

    The Administrator must demonstrate communication skills that are responsive, accurate, professional, warm, caring, and friendly. The Administrator must also be able to prioritize and delegate tasks and projects and follow through on long- and short-term responsibilities in a timely manner. The Administrator should also possess knowledge or willingness to learn about the cycles of the Jewish calendar, basic Hebrew terms, Jewish life cycle basics, and Shabbat and Kashrut practices.
