    Description

    Title: Administrative Coordinator

    Position Status: Non-exempt, Part-time, Year-round, Hourly

    Work Schedule: Monday through Friday, 9AM – Noon (exact hours TBD)

    Compensation: $21-$25 per hour depending on experience

    Purpose: To assist the Pastor and congregation in the multifaceted operation of Emmanuel Presbyterian Church (EPC) and to provide a true reflection of EPC to the community. The person in this position should be actively supportive of and sensitive to the whole mission of Emmanuel church and be guided by his/her own Christian faith.

    Primary Mission: To contribute to the mission of Emmanuel Presbyterian Church to be a community of refuge, hope and service by executing administrative tasks to enable the pastor to focus principally on pastoral responsibilities, as well as, to extend welcome to volunteers and visitors.

    Accountability: The administrative coordinator is accountable on a day-to-day basis to the Pastor and ultimately to the Session through the Personnel Committee.

    Required Skills

    • Experience working with databases (Excel)
    • Proficient in Microsoft Office Suite
    • Proficient in Google Docs
    • Excellent proofreading and editing skills

    Responsibilities

    Ministry

    • Cheerfully greets and assists people who call or come into the office.
    • Notifies the Prayer Chain and pastor of pastoral care situations.
    • Maintains schedule for volunteer liturgists and musicians for worship services.

    Information and Communication Services

    • Maintains current church database
    • Prepares, edits, and prints bulletins for all worship services, including weddings and memorials.
    • Prepares other church mailings and documents as directed by pastor or elders (with approval of Pastor).
    • Proofreads, prints, and distributes newsletter (experience with Mailchimp preferred).
    • Maintains a system for review of worship service attendance and works with pastor to generate reports and address specific needs.
    • Works with the Clerk of Session to maintain all Session and congregational records.
    • Maintains and adds content to designated pages of the website.

    General Administration

    • Trains, coordinates, and supervises office volunteers willing to assist with administrative tasks.
    • Maintains master calendar and schedules building use.
    • Sorts and distributes incoming mail and ensures outgoing mail is picked up for delivery.
    • Sorts and disputes incoming office email to appropriate contact.
    • Maintains accurate filing system.
    • Assists elders with select administrative tasks (distribution of monthly reports, mailboxes, Request for Payment forms, copy machine, etc.) as approved by Pastor.
    • Maintains stock of janitorial and office supplies.
    • Ensures office equipment is well maintained.
    • Works with Stewardship Elder to arrange maintenance of building and grounds.
    • Other duties as assigned.
    • Desirable: Knowledge of Squarespace, Planning Center, Mailchimp, CCLI

    Relationships

    • Pastor – provides day-to-day supervision for this position, and provides job performance feedback.
    • Personnel Committee – The Personnel Committee obtains periodic feedback from the Administrative Coordinator regarding needs, and helps with problem resolution. The Committee facilitates the Administrative Coordinator’s annual performance evaluation.
    • Volunteers – Administrative Coordinator trains and coordinates office volunteers to help with administrative tasks.
