Position Summary
The IOCDF Event Coordinator’s primary responsibility is to assist the Senior Event Manager in the planning and execution of the IOCDF Conference Series events, including the in-person Annual OCD Conference and the suite of virtual conferences. This role will handle key administrative and operational tasks to maintain conference program schedules, ensure effective communication with presenters and attendees, collect and analyze feedback, and contribute to a well-functioning events department.
Qualifications
- 2–3 years of experience in customer service, event planning, or a related role.
- Excellent oral and written communication and interpersonal skills.
- Strong attention to detail.
- Strong organizational and time-management skills
- Ability to prioritize and manage multiple projects simultaneously
- Familiarity with event management software (e.g., Cvent) and other tools (e.g., Salesforce, SurveyMonkey, etc.)
- Excellent computer skills, especially in word processing, spreadsheets, and database software: Proficiency in Microsoft Office (Word, Powerpoint, Excel) required.
- Desire to work in the events industry and grow with the IOCDF to eventually lead events.
- Associate’s degree (or equivalent work experience) is preferred.
- Spanish language proficiency is strongly preferred.
- Experience in a non-profit setting is preferred.
- Some lifting of boxes and mail trays; may require lifting items weighing up to 30 pounds.
- This role must travel for the in-person Annual OCD Conference in July required.
- This role includes working on 3-5 weekends a year to assist in coordinating virtual conferences.
- Candidates for this role are ideally Boston-based, with a hybrid schedule requiring three days in the office.
Duties and Responsibilities
- Event Planning and Coordination:
- Support the Senior Events Manager by completing administrative tasks for in-person and virtual conference events.
- Coordinate with presenters, exhibitors, and sponsors, providing clear communication on deadlines, deliverables, and logistics.
- Maintain and update event schedules and track changes accurately.
- Assist in ensuring CE Accreditation compliance, including proper documentation collection.
- Customer Service and Communication:
- Respond promptly to inquiries from attendees, presenters, and exhibitors via email, phone, and in person.
- Manage registration processes, including adjustments, refunds, and troubleshooting.
- Event Operations and Logistics:
- Oversee the packing and shipping of materials to event venues.
- Provide on-site support during events, including managing breaks, coordinating meals, assisting with tech setup, and ensuring smooth event logistics.
- Create and distribute conference evaluations and feedback surveys; analyze and report findings.
- Administrative Support:
- Update event websites as needed with accurate and timely information.
- Schedule and take notes for event-related meetings, including the recurring Conference Meeting led by the Senior Events Manager.
- Assist with additional administrative tasks and projects as assigned by the Senior Events Manager.
Salary Range: $50,000 - $55,000
