    Summary:

    We seek a highly organized and efficient Part-Time Administrative and Operations Assistant to provide comprehensive administrative and operational support. This role requires a proactive individual with excellent communication and interpersonal skills who can manage multiple priorities effectively in a fast-paced environment. The ideal candidate will be detail-oriented, possess a strong work ethic, and have a proven ability to handle confidential information with discretion.

    Responsibilities:

    Provide comprehensive administrative support including, but not limited to, answering phones, managing emails, scheduling appointments, preparing correspondence, and maintaining filing systems (both physical and digital).

    Assist with event planning and coordination, including logistics, communication, and on-site support as needed.

    • The successful candidate will provide critical support to the day-to-day operations of our building, ensuring smooth and efficient functions
    • This role will work closely with staff members to maintain a productive and welcoming environment
    • Coordinate meetings and events, including setting up audio-visual equipment and arranging for necessary materials
    • Manage the reception area, responding to phone calls, greeting visitors, and directing them to relevant staff members
    • Provide administrative support, including data entry, filing, and preparing documents
    • Assist with maintenance tasks, such as ordering supplies and coordinating with vendors
    • Manage and maintain office supplies and equipment, ensuring adequate stock and functionality.
    • Support the operations with tasks such as data entry, report generation, and record keeping.
    • Maintain confidential information with the utmost discretion.
    • Other duties as assigned.

    Qualifications:

    • High school diploma or equivalent required.
    • Minimum 1 year of experience in an administrative or operational support role in a nonprofit organization or community organization.
    • Proficiency in Google Suite (Word, Excel, PowerPoint), Canva, and Asana, is essential.
    • Proficiency using Instagram, Facebook, Signal, Eventbrite, and Jotform.
    • Excellent written and verbal communication skills.
    • Bilingual (Spanish and English) writing and speaking communication skills are required
    • Ability to work independently and as part of a team, with strong problem-solving and organizational skills
    • Strong organizational and time management skills with the ability to prioritize tasks and meet deadlines.
    • Ability to work independently and as part of a team.
    • Detail-oriented with a high degree of accuracy.
    • Ability to handle confidential information with discretion.

    Hours:

    Part-time, 15-20 hours per week. A flexible schedule will be determined in consultation with the supervisor. The standard work week is Monday through Thursday; however, all positions require availability for occasional evening and weekend work as needed to support organizational needs.

    Compensation & Benefits:

    This position offers a competitive hourly rate of $25.00 per hour. The benefits package includes one week of paid vacation, front-loaded sick leave, a four-day work week, and paid office closures during designated seasonal periods. The organization also provides employer-paid health care coverage, including medical, dental, and vision insurance, for the employee.
