    Nontraditional Employment for Women (NEW) is a workforce development organization dedicated to preparing, training, and placing women in skilled construction, utility, and maintenance trades industries in the New York City metropolitan area.     Position Overview

    The Managing Director of Finance (MDF) is a key member of the executive leadership team, reporting directly to the President. This role is responsible for overseeing all financial activities and ensuring alignment with NEW’s strategic goals. The MDF will bring a proven record of developing and implementing financial systems, allocating budgets, and managing grants effectively. The ideal candidate will have strong analytical skills, excellent communication abilities, and a commitment to advancing NEW’s mission.

    The MDF will supervise the Director Finance, maintain relationships with external financial partners, and enhance the capacity of the Finance team. This position requires an individual who can operate strategically while ensuring operational excellence in fiscal management.

    Key Responsibilities

    Financial Management, Budgeting, and Reporting:

    • Develop and lead NEW’s fiscal strategy, including management and allocation of resources to support a sustainable and scalable business model.
    • Oversee the preparation and management of short- and long-term financial strategies, including designing budgets, analyses, and forecasts, and presentations to drive decision-making by the President.
    • Manage the fiscal team and oversee management of financial transactions, ensuring accuracy and compliance.
    • Enhance systems for analysis, tracking, reporting and forecasting of financial metrics to inform strategic initiatives.
    • Ensure legal and regulatory compliance as well as internal controls and financial procedures.
    • Present comprehensive financial reports to the President, Board Committees, and other stakeholders.
    • Guide relationships with external vendors related to financial functions, such as payroll, auditing, and accounting, etc.

    Payroll Management:

    • Review and approve payroll entries to ensure accuracy before processing.
    • Prepare monthly payroll journal entries, including accruals for benefits and fringe benefit allocations.
    • Reconcile payroll cash bank accounts with the general ledger.
    • Analyze benefit cost trends, rate increases, and their impact on budgets for salaries and fringe benefits.

    Period Close:

    • Conduct monthly reviews of asset and expense accounts, processing necessary journal entries per GAAP.
    • Complete reconciliations, analyses, and reports to meet departmental and institutional deadlines, including those for monthly, quarterly, and fiscal-year close.

    Grant Reporting and Management:

    • Develop and monitor budgets for government and private grants, ensuring alignment with organizational priorities and funding requirements.
    • Ensure accurate and timely submission of funding billings and financial reports to grantors.
    • Track and report on grant allocations, ensuring transparency and compliance with funder guidelines.
    • Determine allocations for payroll and OTPS (Other Than Personal Services) expenses within grant budgets.
    • Collaborate with program staff to ensure grant-funded projects meet financial and programmatic objectives.

    Accounts Payable Oversight:

    • Ensure compliance with purchasing and accounts payable regulations and other requirements.
    • Review and approve disbursement transactions for accuracy and adherence to standards.
    • Coordinate with the Finance team to streamline efficient and accurate disbursement functions.

    Policy and Control Development:

    • Maintain accounting controls by preparing and recommending policies and procedures.
    • Secure financial records on shared and local drives to uphold data integrity.

    Executive Leadership and Management:

    • Bring strategic lens to the executive team, linking day-to-day financial details and planning with the organizational strategic plan and opportunities that arise.
    • Foresee financial challenges and proactively offer solutions to support and strengthen the organization.
    • Communicate clearly with staff at all levels and with Board Committees.
    • Provide consistent and inclusive leadership through the implementation of changing systems.

    Qualifications and Experience

    • 7 to 10 years of experience leading finance strategy and financial operations, preferably in a nonprofit setting.
    • Proficiency in budget allocation, grant writing, and grant management, including detailed grant allocations.
    • Demonstrated ability to develop and implement financial models aligned with strategic plans.
    • Strong analytical and organizational skills with attention to detail.
    • Exceptional communication skills, with the ability to translate complex financial information for diverse audiences.
    • Experience in leading system changes and identifying potential barriers.
    • Exceptional organizational skills, with demonstrated ability to manage concurrent multiple assignments, meet tight deadlines, and prioritize accordingly.
