    POSITION SUMMARY

    As part of Parish Life, the Community Engagement (CE) team promotes the culture of welcoming newcomers, strengthening the sense of belonging in our community life, and responding to the call to witness and serve our neighbors as disciples of Christ.

    The CE team supports all congregational-led small and big meetings and events within Trinity Church. The Program Assistant, therefore, manages the operational and administrative work of the CE team with parish groups, congregational-led meetings and events, and community service programs. Reporting to the Priest and Associate Director for Community Engagement, the Program Assistant works with other departments to follow good practices for proper administrative documentation, meeting/event set ups, managing attendance, and maintaining excellent relationships.

    The hourly payrate for this position is $26.76 to $31.10.

    ESSENTIAL DUTIES AND RESPONSIBILITIES

    Operations for Community Engagement Work (Meetings, Events and Programs):

    • Assist in planning, implementing, and evaluating programs and events.
    • Coordinate logistics for parish group meetings, events, and workshops.
    • Maintain accurate attendance records and manage event check-ins (for groups over 20 people).
    • Manage CE team calendars and support scheduling.
    • Place catering orders and oversee event-related purchases.
    • Support registration, preparation of materials, program activities, and record-keeping for community service programs with participants Office of the Vicar’s functional units.
    • Maintain a significant presence at community events, including coffee hours, volunteer settings, and celebrations.
    • Collaborate with internal teams to align programs with organizational goals.

    Administrative Support for Community Engagement team and work:

    • Maintain and update program documentation, including reports, schedules, and databases.
    • Process purchase orders and manage financial documentation.
    • Assist with contracts, certificates of insurance (COIs), and expense tracking.
    • Communicate with stakeholders, team members, and clients to provide updates and gather feedback.
    • Ensure compliance with Trinity Church policies in collaboration with Finance and Legal departments.
    • Provide general administrative support, including data entry and email communication.

    REQUIRED KNOWLEDGE, SKILLS, AND ACTIVITIES

    • Proven experience in administrative or program coordination roles.
    • Strong organizational, multitasking, and time-management skills.
    • Excellent written and verbal communication skills.
    • High-level customer service skills for engaging with diverse populations.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and data management tools.
    • Ability to work independently and collaboratively in a team setting.
    • Familiarity with program management principles, financial processes, and event logistics.
    • Experience with large-scale events, preferably in a religious, nonprofit, or community-based organization.
    • Fluency in Spanish (preferred).
    • Availability to work weekends (Sunday–Thursday schedule).
    • Strong judgment and discretion in handling sensitive matters.

    REQUIRED AND PREFERRED EDUCATION, EXPERIENCE, AND CREDENTIALS

    • A bachelor’s degree or equivalent combination of training and/or experience
    • Experience with faith-based or outreach work.
    • Willingness to learn about administrative and financial processes
