    Description

    Are you ready to tackle a range of CRM. bookkeeping and administrative responsibilities for a civil liberties non-profit defending the right to know and freedom to act? You will be our EveryAction CRM administrator and expert, managing donor records and preparing email blasts. You’ll manage our accounts payable and recievable (including those of our fiscal sponsorees), working with our outside bookkeeping firm to ensure accuracy and timely reports. You’ll be an essential part of our small team with significant responsibilities.

    This position may be remote, or based out of our Washington, DC office.

    Core responsibilities include:

    Financial

    • Process transactions (deposit checks/pay bills)
    • Work with Jitasa, our outside bookkeeping firm to properly code transactions, provide necessary records, ensure accuracy of financial reports
    • Work with our CPA to provide records necessary for annual audit and 990

    Administrative & HR

    • Track and ensure completion of annual state registration filings
    • Collect and maintain records for numerous independent contractors
    • Maintain electronic and physical files with effective filing systems in Google Drive and other platforms. Maintain an organized inventory of organizational policies and procedures
    • Develop forms and systems for record keeping as needed
    • Process payroll using Paychex
    • Administer 401K and health insurance
    • Maintain personnel records
    • Attend in-person and virtual meetings to record notes, document follow-up items, and circulate meeting summaries
    • Update Personnel Policies Manual when amended by the board or as required by law
    • Assorted other administrativa

    EveryAction CRM Administration/Donor Relations

    • Serve as the primary system administrator for our CRM
    • Ensure gifts and pledges are accurately recorded and processed to reflect the donor’s intentions
    • Draft, generate, and transmit tax receipts, thank you letters, pledge reminders and other donor communications
    • Generate queries/reports/exports for donor mailings, recognition and appeal/campaign analysis
    • Ensure donor contact information is accurate and updated
    • Maintain a clean CRM

    Manage Fiscal Sponsorees

    • Interface with directors of projects fiscally sponsored by DRAD to ensure proper reporting of financials, personnel, and other record keeping

    Communications

    • Set up and schedule email blasts including newsletters and action alerts
    • Proofread email blasts, blog posts, etc.
    • Post blogs, etc. to website
    • Monitor several organizational email accounts and respond or forward to appropriate staff

    Qualifications:

    • Experience and proficiency using EveryAction or comparable CRM with an understanding of the importance of a well-maintained CRM for advocacy and fundraising
    • Understanding of Quickbooks and basic bookkeeping
    • 2+ years of relevant experience in fundraising and/or administrative support in the nonprofit sector
    • Excellent organizational skills and attention to detail,
    • Strong writing and copy-editing skills
    • Proficient in Microsoft Excel and google sheets

    Salary:

    $55,000 - $65,000. Fully paid health insurance including dental and vision, 401k with employer match, seven+ weeks of PTO (three weeks of vacation, 10 sick and personal days, 14 paid holidays).
