    How you’ll contribute:

    The Program Coordinator will provide administrative support for AcademyHealth’s Evidence-Informed State Health Policy Institute (ESHPI) projects that advance the use of evidence-based research and promote health equity in state health policy and practice. Specifically, this role will be responsible for coordinating virtual and in-person meeting logistics and related communications with internal staff and external project partners, including drafting and disseminating meeting agendas and other related materials.

    This position may also contribute to logistical support for other AcademyHealth projects spanning a broad range of federal and state policy issues including health care structure and finance, advancing equity, and science innovation.

    Responsibilities:

    • Assist in coordinating and maintaining project schedules and calendars.
    • Schedule internal project check-in calls, and external virtual and in-person meetings on behalf of project senior management, including meetings with steering committees, advisory groups, external partners.
    • Assist in meeting planning including scheduling planning calls, drafting invites to meeting attendees and speakers, tracking RSVPs, coordinating and attaching materials (e.g., agenda, participant list), and other key meeting logistics.
    • Coordinate travel communications and logistics for in-person project meetings, including tracking and processing attendee travel reimbursement.
    • Create and format tables, charts, presentations and other graphics as needed.
    • Provide support on a variety of projects ensuring all the administrative functions pertaining to the delivery of planned deliverables and activities are met.
    • Provide logistical support for virtual and in-person meetings and webinars, including preparation and dissemination of materials, note taking at meetings, and development of meeting summaries.
    • Perform a wide range of administrative tasks, including scheduling meetings and conference calls, helping invited speakers and experts with travel and logistics, creating, updating, and maintaining organized files and records, and other related tasks.
    • Conduct other administrative and research activities in support of AcademyHealth projects.

    Desired Qualifications:

    • Bachelor’s degree from accredited college or university or equivalent experience required.
    • Minimum of two years administrative support experience, including managing calendars and coordinating travel.
    • Commitment to valuing diversity and equity, contributing to an inclusive working and/or learning environments.
    • Experience anticipating, balancing, supporting and prioritizing the administrative needs of multiple individuals.
    • Ability to effectively handle a rapid pace of activity and frequently changing priorities.
    • Strong proficiency in MS Office (Outlook, Word, PowerPoint, Excel) and web-based applications.
    • Professional interest in health policy, public policy, public health, or other health care issues.
    • Strong written and oral communications skills.
    • Strong organizational skills, ability to handle multiple tasks simultaneously and maintain a system of tracking, monitoring, and prioritizing tasks and projects.
    • Enthusiastic, with a positive outlook and “can-do” attitude.
    • A detail-oriented individual able to work both independently and with a team.
    • Must have strong interpersonal, written and verbal communication skills.
    • Problem-solver able to anticipate and solve problems independently.
    • Must possess good judgment and discretion with confidential and sensitive information.
