    Description

    The Louisiana Bucket Brigade is a 501(c)(3) environmental health and justice organization working with communities neighboring the state’s oil refineries and chemical plants. We use grassroots action to create an informed, healthy society that holds the petrochemical industry and government accountable for the true costs of pollution to hasten the transition from fossil fuels. Our vision is a Louisiana that is a healthy, prosperous, pollution-free, and just state where people and the environment are valued over profit. We are looking for an experienced Operations Coordinator to join our team in advancing this important work.

    Purpose of Position: The purpose of the Operations Coordinator is to support the internal office operations and administrative functions of the Louisiana Bucket Brigade (LABB).

    Job Title: Operations Coordinator

    Reports To: Deputy Director

    Job Status: Full-time, 40 hours per week

    Salary: $56,250 annually

    Benefits include 100% employer-paid medical, dental, and vision benefits, 401K, life insurance, professional development stipend, training, three weeks of paid vacation, a one-week office closure during the summer, and the week of Christmas until New Year's Day), ten paid observed holidays, one regularly scheduled remote day per week, and three weeks of remote work

    Essential Duties and Responsibilities

    Administration (25%)

    • Assist Deputy Director and Executive Director with administrative tasks
    • Assure scheduling and execution of weekly staff meetings; communicate schedule changes as necessary
    • Coordinate with relevant staff to maintain up-to-date external communications regarding staff, contact information, and hiring communications
    • Coordinate logistics for teamwide meetings and events
    • Monitor the office mail and voicemail and distribute to the appropriate staff
    • Receive and open incoming mail and distribute to appropriate staff
    • Develop and / or refine administrative systems as necessary

    Office management (30%)

    • Maintain relationships with vendors and assure smooth functioning of all office systems including but not limited to phones, conference and Zoom lines, interoffice communication, security, office cleaning,, wi-fi, server, and other technical needs
    • Coordinate car maintenance, equipment repairs, office maintenance, and vendor visits as necessary
    • Coordinate with the Accountant as needed to remit vendor payments and provide receipts for services and office expenses.
    • Maintain calendars for staff schedules, events, meeting room reservations, and company car reservations, including staff members not based in New Orleans
    • Maintain and record inventory, including storage units and office inventory
    • Order office supplies, coordinate purchase requests, and ensure proper office outfitting with necessary furniture and equipment

    HR & Staff Support (30%)

    • Maintain time-off calendars and time-off requests in the time management system
    • Coordinate and track whole staff professional development (PD) opportunities and maintain a database of elective professional development and cultural enhancement (CE) opportunities for staff
    • Coordinate the planning and successful execution of annual staff events (i.e Crawfish Boil, Holiday Party, Staff Retreats)
    • Maintain communication with staff about observances for holidays, office closures, and policy updates
    • Provide support with recruitment activities, including promoting job advertisements coordinating interview schedules with the hiring committee and candidates, and maintaining communication with job applicants
    • Implement updates to policy documents, standard operating procedures, and internal admin documents as directed by the Deputy Director
    • Collaborate with the Deputy Director to develop and implement staff training tools and onboarding protocols

    Maintain organizational archives (10%)

    • Develop a system to organize and maintain organizational archives
    • Coordinate volunteers to capture, inventory, digitize, and catalog existing artifacts and content

    Participate in organizational events (5%)

    • Participate in staff meetings, team building events
    • Complete annual PD requirements, including required staff training
    • Adhere to organizational Values Statement

    Required Experience

    • At least three years of experience in an administrative or operations role
    • Experience working with databases and managing systems (i.e. Google Drive, JazzHR, Paychex)
    • Experience implementing staff onboarding and training protocols
    • Comfortable working with a diverse staff

    Preferred Experience

    • Some experience in an HR support role or interest in human resources

    Requirements

    • Applicants must be willing to carry out an array of administrative tasks
    • Must have a valid driver’s license to operate a vehicle as necessary
    • Must be vaccinated against COVID-19 and be able to provide proof
