    Description

    The YES Administrative Assistant is a part-time position that supports the Richmond Outdoors Coalition (ROC), for which YES is the fiscal sponsor. Launched in 2017 and providing its second year of services to youth and families in the West Contra Costa Unified School District, the ROC takes a Collective Impact approach to providing a pathway of preK-12 + families outdoor programming so that Richmond youth and families have access to multiple, repeat, and reinforcing outdoor experiences, paving the way for expansion throughout the school district. ROC outcome areas include Education, Positive Youth Development, Health and Wellness, and Social Justice.

    Reporting to the YES Director of Finance & Operations, and in collaboration with the ROC backbone team (coordinator and facilitators), the Administrative Assistant plays a key role in ensuring the eight ROC partners who are actively engaged in the coalition are compliant and successfully executing their grant deliverables. This includes overseeing the following responsibilities:

    KEY RESPONSIBILITIES

    Programmatic (50%)

    • Alongside the ROC Coordinator, collect, enter, and report evaluation data
    • Work with partners to ensure evaluation data collection protocol is followed
    • Assist with preparing data for reports on a quarterly basis
    • Support in the distribution of surveys to participants and teachers at ROC pilot schools, and/or collection of quantitative data from partners
    • Track partner compliance with school district requirements
    • Assist in set up and preparation of meeting
    • Calendar and coordinate steering committee member program site visits

    Financial (45%)

    • Distribute MOUs & grant agreements for signature; track to ensure all criteria and needs have been met by grantees and vendors
    • Collect, organize, and check for the completeness of reimbursement documentation from vendors
    • Prepare invoicing for funders and upload to the reporting portal
    • Process payments for vendors, grantees, Steering Committee members, etc.
    • Other related duties as assigned

    Organizational Leadership (5%)

    • Committed to the ROC’s and YES’s visions, missions, and values and communicates YES’s strategic direction to staff, constituents, and partners
    • Participates in organization-wide Equity, Inclusion and Diversity work
    • Attends YES staff and ROC backbone team meetings as appropriate and as schedule allows
    • Participates in training programs related to professional development, leadership, non-violent communication, anti-Black racism, and other relevant areas

    Physical demands

    The position requires frequent use of computer and handwritten work; requires prolonged sitting or standing through the course of the workday; requires the ability to bend.

    QUALIFICATIONS

    • Previous administrative experience with school, nonprofit, or business administration including, but not limited to the areas of finance, budget, data management, reporting, grants, and/or evaluation
    • Computer proficiency in Google Drive programs (docs, sheets, forms, etc.), Google Calendar, and Microsoft Office programs (Word, Excel, & PowerPoint)
    • Ability to practice discretion and sound judgment with financial and participant information
    • Organized with rigorous attention to detail and organizational protocols
    • Ability to take direction from and collaborate with multiple stakeholders
    • Ability to represent the ROC and YES well when working with community partners and participants
    • Available to work occasional evenings and weekends with advanced notice
    • Available to work both on and off site and access work and program sites with reliable transportation

    OTHER DESIRED QUALIFICATIONS

    • Bilingual in English & Spanish
    • Familiarity with the Richmond community and/or other Communities of Color
    • Appreciation for the outdoors and the positive impact that nature plays in people’s lives

    The position accrues vacation, wellness/sick time, holiday hours, birthday and non-holiday closing paid time off, as well as health and retirement benefits on a prorated basis.
