    Description

    Sustainable Harvest International (SHI) is an international non-profit dedicated to training families in regenerative farming methods that improve livelihoods and the planet. We are seeking an experienced database administrator with strong relationship-building skills.

    Position Summary

    The Development Associate is responsible for managing SHI’s donor database, ensuring accurate record-keeping, processing donations, generating reports, and analyzing data. They support donor relations by assisting with cultivation efforts, prompt acknowledgements, thank-you messages, and follow-ups. Additionally, they serve as the primary contact for general inquiries, help coordinate events, maintain state registrations, and assist with various development projects as needed.

    Primary Responsibilities

    Donor Database Management

    • Oversee donor database software, managing updates, security, backups, and system enhancements.
    • Maintain accurate donor records by managing data entry, conducting NCOA updates and deduplication, and troubleshooting discrepancies.
    • Process all donations, including importing online donations, updating records, generating acknowledgements, and announcing applicable gifts via the shared team messaging platform.
    • Manage integrations between the donor database and other platforms, including Mailchimp, Hopsie, Instrumentl, and Gmail.
    • Work closely with the development team to ensure accurate data entry, reporting, and reconciliation.

    Reporting and Analysis

    • Generate donor reports to track fundraising progress, analyze trends, and inform fundraising strategies.
    • Produce timely reports and lists for staff, including donation reports, funding proposals due, donor portfolios, mailing and email lists, audits, annual reports, and statistical analyses.
    • Update the monthly Donation Report and assist with monthly revenue reporting.
    • Support the annual revenue budgeting process by generating donor lists, tracking revenue projections, and ensuring accurate reporting.

    Donor Relations and Fundraising Support:

    • Assist in cultivating and maintaining relationships with donors through timely and personalized acknowledgements and follow-ups.
    • Send thank-you emails, handwritten notes, and make phone calls to recognize and appreciate donor contributions.
    • Support donor retention efforts by helping implement strategies for re-engaging lapsed donors.
    • Assist in stewarding new and existing recurring donors by maintaining accurate sustainer records and supporting the team with regular donor communications.
    • Help plan and execute donor and fundraising events, including logistics, invitations, and follow-ups.
    • Assist with donor surveys and collect feedback to improve engagement strategies.
    • Support the creation and distribution of email newsletters, social media posts, and fundraising materials.
    • Assist with fundraising campaigns, donor outreach, and impact storytelling to enhance engagement.

    Administration and Support

    • Manage the relationship with the mail service, US Global Mail (mail service), overseeing the opening and processing of incoming mail and donations.
    • Maintain updated state registrations and ensure compliance.
    • Oversee organizational and general inquiry email accounts and the general phone line, responding to or directing inquiries appropriately.
    • Provide database support for staff, troubleshooting issues and liaising with Raiser’s Edge technical support as needed.
    • Maintain relationships with donation platform vendors (e.g., Hopsie, Paypal, Omatic) and troubleshoot any issues that arise with these platforms.

    Benefits

    • Minimum of three years’ experience managing donor databases and donation systems, with a focus on donor stewardship.
    • Proficiency in database management systems (Raiser's Edge experience a plus) and Microsoft Word and Excel. Familiarity with Mailchimp, Hopsie, Paypal, and Omatic is a plus but not required.
    • Strong analytical skills to interpret data and provide actionable insights.
    • Ability to design and generate customized reports to support fundraising efforts.
    • Excellent written and verbal communication skills for effective interactions with donors and colleagues.
    • Ability to build and maintain strong relationships with donors and stakeholders.
    • Ensure data accuracy and consistency within the database.
    • Strong organizational skills and the ability to prioritize tasks.
    • Self-motivated and able to work independently with minimal supervision

    Compensation + Benefits

    The salary range for this position is $45,000 - $50,000, with opportunities for growth.
