    Description

    The Position

    The National Women’s Law Center (NWLC) seeks a resourceful, proactive administrative professional with an impeccable eye for detail who thrives in fast-paced, collaborative environments to join its staff as an Associate. The Associate’s primary responsibilities are to provide administrative support to the Chief of Staff and projects directly led by the Chief of Staff. The role also supports the Office of the General Counsel and the Organizational Effectiveness and Learning function with a range of administrative tasks including meeting logistics and file management, and pitches in during peak moments to help the overall team that supports the President & CEO and NWLC’s Board. In addition to possessing outstanding organizational, communication, and collaboration skills, the Associate must have the ability to manage multiple fast-paced tasks simultaneously and calmly and to handle highly sensitive and confidential information with the utmost discretion.

    This is a full-time, exempt position of 37.5 hours per week.

    Responsibilities

    Support for Chief of Staff

    • Manages the Chief of Staff’s schedule and organizes documents that require the Chief of Staff’s review;
    • Supports smooth communications between the Chief of Staff and internal teams and key external relationships, including coordinating calendar management with other teams’ assistants and associates, helping to foster credibility, trust and support with stakeholders;
    • Prepares and completes expense reports for the Chief of Staff, and may assist with other expense reports;
    • Serves as the primary backup for the Executive Assistant to the President & CEO; and
    • Be available for extended hours and outside of typical business hours as occasionally required to ensure the President & CEO, Chief of Staff, and Boards are fully supported.

    Support for Office of the General Counsel

    • Manages the schedule of the Vice President & General Counsel;
    • Prepares and completes expense reports for the Vice President & General Counsel, and may assist with other expense reports;
    • Assists with federal and state filings related to lobbying and political activity; and
    • Supports the Office of the General Counsel through coordination of contracts and associated workflow and data maintenance in Ironclad, file management, logistics support for internal and external meetings and trainings and other administrative tasks as needed.

    Meeting Logistics and Coordination and File Management

    • Manages logistics and coordination for smooth internal and external meetings which includes tracking budgets, managing vendors, and preparing meeting spaces with food, refreshments & materials;
    • Organizes and maintains documents associated with internal forums – the Executive, Senior and Management Teams, including assisting with the preparation of materials and organizing of confidential files for the Executive and Senior Teams and the Board. Assists with building and maintaining effective, collaborative, and efficient systems and processes in support of these forums, leveraging SharePoint and project management tools;
    • Provides administrative and logistics support for strategic planning and annual organization-wide planning and ongoing reporting; and
    • Performs additional duties as assigned.

    Qualifications

    The ideal candidate must possess:

    • Demonstrated ability to initiate, prioritize, organize and complete work independently and expeditiously, with outstanding organizational skills and impeccable attention to detail;
    • Must be a proactive, adaptable self-starter with flexibility and good judgment as well as the ability to learn quickly, pivot easily and handle multiple, concurrent tasks and assignments in an inclusive, extremely fast-paced team environment;
    • Demonstrated ability to handle sensitive situations and to handle a wide variety of tasks and confidential matters with the utmost discretion;
    • Experience creating and maintaining organized, confidential files for senior leaders and Board matters;
    • Strengths in building relationships and influencing colleagues at all levels, leveraging excellent written and oral communication skills;
    • Proficiency in MS Word, MS Outlook, Excel, PowerPoint, SharePoint, Adobe, Zoom, and Asana (or similar project management software); and
    • Ability to learn and master new software and other systems as may be introduced within the organization.

    Additional preferred skills and knowledge:

    • At least one year of experience providing scheduling, meetings logistics, and other administrative support for a senior executive, preferably at a non-profit organization, Capitol Hill office, labor union, or mission-aligned corporate setting;
    • Proficiency with Ironclad or similar contract management software; and
    • Demonstrated commitment to and experience working on gender and racial equity and centering communities of color in their approach to work.

    Key Relationships

    The Associate reports directly to the Chief of Staff. The role works closely with the Vice President & General Counsel, the Director of Organizational Effectiveness & Learning, and other staff within the Office of the President. This position interacts with the entire staff of NWLC and frequently interacts with outside consultants and vendors, and occasionally with donors and NWLC Board members.

    Classification

    This position is classified as a confidential employee and as such is not included in the union-represented bargaining unit, NWLC United, affiliated with the Nonprofit Professional Employees Union/IFPTE Local 70.

    Compensation, Benefits, and Work Location

    A salary within the range of $65,288-$74,793 will be provided to the successful candidate, consistent with the National Women’s Law Center’s compensation framework. The successful candidate’s salary within this range will be determined by the number years of relevant experience they bring to the role.

    The Law Center offers a comprehensive benefits package, including four weeks of annual vacation.

    NWLC is a non-profit organization whose headquarters and staff are based in Washington, D.C. at our new office at 1350 Eye Street N.W. This role is based in D.C. and will be eligible for some telework while also being expected to work in person on a regular basis. Given the team’s schedule and responsibilities, at least two regular days per week of in-office work will be expected, as well as availability for additional in-person work depending on organizational needs. The successful candidate will need to live in or relocate to the DMV (broadly defined as DC, Maryland, or Virigina).

    The first 90 days of employment will be considered a probationary period.
