    Description

    As the Events and Engagement Coordinator, you will support the Director of Alumni Engagement and External Relations with organizational events, as well as lead administrative oversight of alumni engagement and event processes. The Events and Engagement Coordinator will develop, schedule, and execute alumni opportunities, including annual and one-time events. This includes on the ground event management, as well as database maintenance, sponsorship coordination, event registration and reporting, and overseeing venue and vendor relationships.

    The role provides an opportunity to assist the Alumni Engagement and External Relations Department build community and connection among Leadership Rhode Island’s 3,000+ alumni. This support is essential so that the organization can deepen its impact collaborating with a diverse community of leaders to build a thriving Rhode Island for all.

    Job Responsibilities

    EVENT MANAGEMENT

    • Oversee, with strategic guidance from Director of Alumni Engagement and External Relations, planning, logistics, and execution for several events, including alumni activities, such as evening dinners, talks, field trips, and reunions.
    • Ensure proper and timely assessment of event success and documentation of any related materials, artifacts, or lessons learned.
    • Organize and maintain event supplies and resources.
    • Create and maintain project management timeline of events and ensure proactive and timely execution of events.
    • Manage venue and vendor relationships.
    • Oversee supplies and materials procurement.

    EVENT REGISTRATION AND REPORTING

    • Create and maintain event registration pages.
    • Manage custom invite lists for events as needed; ensure timely notification of upcoming events to potential attendees.
    • Produce and analyze attendance reports and other reports or feedback related to events; present observations to the Director of Alumni Engagement and External Relations.

    SPONSORSHIP COORDINATION

    • Maintain proper documentation of sponsorship commitments and track progression of sponsorship requirements and other necessary information.
    • Ensure requests and requirements of sponsors are delivered on time and of high quality
    • Keep Salesforce database current with sponsor/sponsorship information.

    Preferred Qualifications:

    • 1 year events management experience
    • Background in hospitality or in guest/client engagement
    • Experience with social media platforms (Facebook, LinkedIn, and Instagram)
    • Experience using Zoom, Microsoft Office Suite, Salesforce, Google Suite, Classy, Canva, and/or Form Assembly

    Compensation & Benefits:

    • Start Date: April 2025
    • Location: Providence, RI (opportunity to work remotely 1 day per week after 3 months of continuous employment)
    • Starting Salary & Benefits: $45,000 - $55,000 and access to an employer health benefit and IRA contribution matching up to 3%.
