    Description

    The Clinic Case and Volunteer Coordinator will be responsible for managing our membership and volunteer roster, overseeing case placement of forensic cases, coordinating clinical volunteers, and facilitating onboarding for new volunteers. The role involves scheduling, prepping, and managing volunteers from case initiation to completion. The ideal candidate will have strong organizational skills, excellent verbal and written communication abilities, and the capacity to manage multiple projects and timelines effectively. An interest in health advocacy and organizing, particularly for immigrant and incarcerated communities, is a plus.

    Key Responsibilities:

    • Membership & Volunteer Management: Maintain and update the volunteer roster, ensuring accurate information for all clinical volunteers and members. Oversee the onboarding process for new volunteers, ensuring proper orientation and training.
    • Case Placement: Facilitate the placement of forensic cases with appropriate clinical volunteers based on expertise and availability.
    • Volunteer Coordination: Oversee the scheduling, prep, and coordination of clinical volunteers from case initiation to completion. Serve as the main point of contact for volunteers, ensuring that all tasks and expectations are clearly communicated.
    • Onboarding & Training: Develop and implement onboarding processes for new volunteers. Coordinate training opportunities and ensure that volunteers are well-prepared for their roles.
    • Liaison Role: Act as the main point of contact between the clinical teams and legal representatives, ensuring clear communication and timely updates on case progress.
    • Communication: Serve as the primary point of contact for volunteers and clinical staff, ensuring clear and timely communication for each case.
    • Scheduling: Create and maintain schedules for clinical volunteers, ensuring proper coverage for all forensic cases.
    • Documentation & Reporting: Track volunteer hours, case progress, and provide regular updates on case statuses to leadership.
    • Administrative Support: Assist in organizing and maintaining records, reports, and other relevant documentation related to forensic cases.

    Compensation:

    The compensation for this role is a blended pay model, which includes both a base retainer and additional compensation for any extra hours or cases:

    • Base Retainer: The Clinic Case & Volunteer Coordinator will receive a base monthly retainer of $1,120 for managing up to 6 cases over an 8-week period, assuming 8 hours per week (approximately 32 hours per month). This covers the core responsibilities of case coordination, scheduling, volunteer management, and onboarding.
    • Per-Case Fee: If the number of cases exceeds the baseline of 6 cases, an additional $150 per case will be paid.
    • Hourly Compensation: For additional tasks or hours that go beyond the retainer, the coordinator will be paid at an hourly rate of $40/hour.

    Contract Extension:

    If hired beyond the trial period, the contract will be re-evaluated for extension at four months, based on performance, case volume, and organizational needs.

    Qualifications:

    • Proficiency in Microsoft 365 and SharePoint.
    • Strong verbal and written communication skills.
    • Exceptional organizational and time-management abilities.
    • Ability to work independently and handle multiple tasks simultaneously.
    • Interest in advocacy and organizing, especially related to immigrant and incarcerated populations.
    • Direct or adjacent clinical or legal experience is a plus (including lived experience).
    • Previous experience in volunteer coordination, case management, or a similar role is preferred.
    • Commitment to confidentiality and ethical standards.

    Please Note

    • Flexibility with hours: While regular business hours are typical and to be expected, some tasks may require coordination outside of regular hours, including evening meetings or outreach to clients who are unavailable during the day. Hourly flexibility can be mutually agreed upon and revisited periodically based on needs.
