    Administrative Assistant

    Alianza Nacional de Campesinas (National Alliance of Farmworker Women) was founded in 2011 as an informal network of farmworker women-serving organizations with the specific aim of bringing unity and coherence to this growing, but greatly under-supported and underrepresented movement of working women. Since then, it has worked to ensure that campesinas have a place at the decision-making tables and a unified voice at forums that set the agenda for issues of critical importance to them and their families. Alianza is not only dedicated to protecting and promoting the civil, constitutional and human rights of campesinas, but of ensuring that they are empowered and actively engaged in advocating on their own behalf. There are four priority areas of work that Alianza focuses on: (1) ending violence against women and girls; (2) creating fair labor and employment standards; (3) helping to create a less punitive and more humane and just immigration system; (4) and addressing exposure to pesticides.

    The Farm Labor Stabilization and Protection (FLSP) pilot program is a grant program for agricultural employers, which incentivizes implementation of strong working conditions, benefits, and recruitment practices for workers. It was designed to improve the resiliency of the food and agricultural supply chain by addressing workforce challenges. The Know Your Rights and Resources (KYRR) component anchors the FLSP goal of improving working conditions on farms by endowing all farmworkers with rights and resources information, including credible connections to community resources (i.e., health, safety, faith-based, legal, etc.). KYRR aims to:

    1. Ensure that all workers under the FLSP program fully understand their rights
    2. Build a conduit of trusted resources for agricultural workers, and
    3. Strengthen trust between worker-serving organizations and employers, thus supporting the long-term resiliency of US farm labor.

    Alianza is seeking a bilingual (English/Spanish) Administrative professional with excellent communication skills to join our growing team. The Administrative Assistant will report to the National Coordinating Supervisor and the National Program Supervisor of Alianza. The Administrative Assistant will assist the program and finance team to achieve goals and objectives of the project. Provides direct assistance to the Administration team through the organization of project internal meetings, subgrantee meetings, ensuring prompt response for correspondence and inquiries for and to USDA. Provide support as needed with progress reports, and work with the Finance Department to execute budget and acquire project staff supplies.

    Administrative Assistant Responsibilities:

    • Regularly report to National Program Supervisor & National Coordinating Supervisor.
    • Assist with scheduling and hosting of administrative meetings, prepare agendas, record meetings as needed, take notes and follow up on action items identified in each meeting.
    • Assist with coordinating monthly project partner monitoring meetings including scheduling, sending reminders, preparing agendas by project partner, taking minutes, and making sure action items are follow-up on.
    • Assist with scheduling of translation and interpretation for meetings as needed.
    • Assist with compiling of reports or any data needed for USDA reporting.
    • Communicate with project staff as needed for any required tasks, via email, phone or text.
    • Assist with ensuring every position has a Job description.
    • Assists finance team with onboarding of new employees and helps familiarize employees on the use of companies applications for time and effort, and human resources.
    • Assist finance team with execution of budget specifically with the purchasing of program supplies and supplies for project and administration staff.
    • Assist with making travel arrangements for project staff and creation of memorandums to ensure all travel staff know travel details (Lodging, Car Rental, Airfare among others).
    • Assist finance team with documentation of purchases, receipts of use of credit card.
    • Provides technical assistance as needed to Promotoras to ensure internal processes are being followed.
    • Works with project staff and ensures project deadlines are met and tasks are completed.
    • Work with partners to meet project objectives.
    • Mail materials and equipment to program staff as needed.
    • Assists with any administrative tasks related to the program.

    Administrative Assistant Requirements:

    • Experience in business administration, management, or related field such as management or financial reporting.
    • At least 3-5 years professional experience in administrative work, project management, office work at a consulting firm, nonprofit organization, or government agency.
    • Exceptional leadership, time, task and resource management skills.
    • Strong problem solving, critical thinking, coaching, interpersonal, and verbal and written communication skills.
    • Proficiency with computer, especially Google Suite and Microsoft Office.
    • Ability to plan for and keep track of multiple projects and deadlines.
    • Familiarity with budget planning and enforcement, human resources, and customer service procedures.
    • Ability to communicate effectively and courteously.
    • Fluency in Spanish and English (verbal and written).
    • Willingness to establish and maintain positive working relationships with others both internally and externally to achieve the mission and goals of the organization.
    • Ability to work cooperatively and effectively with others to set goals, resolve problems, and make decisions that enhance organizational effectiveness.
    • Ability to set priorities, develop a work schedule, and perform work on a timely basis.

    Alianza benefit programs currently include medical, dental, vision, life, short-term and long term disability coverage for employees. Eligibility for these benefit programs will be determined by the various plans under which these benefits are provided. Alianza’s benefits presently include payment of full premium for health insurance for employees, 80% for Children, 50% for spouse or domestic partner (in the month following your hiring/or according to the requirements of the current plan). Alianza also offers a Simple IRA plan for interested full and part-time employees with no stated limitation on the duration of their employment. The employer will match up to 3 (three percent of the salary deduction an employee chooses to have withheld for contribution to the Simple IRA.
