    Description

    The WJP’s Executive and Operations teams are seeking one part-time, paid intern for a six-month position based in the Washington, DC office. Applicants should be available for 15-20 hours per week. As part of a small team, the intern will support a range of clerical tasks for the Executive and Operations teams, including assisting with the planning and logistics for meeting and events, coordinating travel arrangements, and mailing materials and other correspondence. This is a current vacancy with an anticipated start date in January of 2025.

    WJP maintains a hybrid work schedule, and employees are expected to live within commuting distance of the office located in Downtown DC and generally to work in the office three days per week. The candidate selected for this position must have access to a reliable internet connection for remote work days.

    Responsibilities: The Executive Operations Intern will report to the Senior Associate, Executive and Operations. The main responsibilities of this position include, but are not limited to:

    • Supporting the planning and logistics for in-person and virtual meetings and events;
    • Notetaking and distribution of meeting materials;
    • Maintaining internal communication tools and calendars;
    • Managing contacts and shared filing systems;
    • Developing and tracking progress on workplans;
    • Making travel arrangements for senior staff members, the Board of Directors, and organizational affiliates;
    • Processing invoices and preparing expense reports;
    • Mailing materials domestically and internationally;
    • Drafting and editing presentations for external audiences;
    • Assisting with office supply ordering and stocking; and
    • Conducting desk research for the Executive and Operations teams ,as needed.

    Qualifications: This position is open to current students (B.A.) or recent graduates (B.A.) with excellent organizational proficiency, attention to detail, and communication skills. The ideal candidate will have completed coursework in government, international relations, regional studies, social sciences, or related fields. They will be highly organized and dependable, with a strong academic record, administrative experience, and an enthusiastic interest in the rule of law. The successful candidate will demonstrate the following skills and qualifications:

    • Preferably at least six months of administrative support experience, including internships;
    • Superior analytical, organizational, and problem-solving skills and excellent attention to detail;
    • Excellent oral communication and interpersonal skills;
    • Strong writing and research proficiency;
    • The ability to communicate in a professional manner in writing, over the phone, and in person, including with senior professionals and dignitaries;
    • Familiarity with standard office software programs, ideally including Microsoft Office, Teams, Google, Adobe, Zoom, and Salesforce;
    • Experience working in a fast-paced, multicultural environment and commitment to supporting WJP's collegial and inclusive workplace culture;
    • The ability to work independently and manage his/her/their own workload while prioritizing multiple tasks; and
    • Understanding of rule of law, human rights, and governance issues, and demonstrated interest in and commitment to WJP's mission and principles.

    Physical Requirements

    While performing the responsibilities of the job, this person will frequently be required to use finger dexterity as well as sufficient hand dexterity to use a computer keyboard and be capable of reading a computer screen. This person may need to remain seated for long periods of time, have the ability to perform repetitive motions, grasp objects, including a writing instrument, stand, communicate verbally and hear well enough to detect nuances ,and receive detailed information. This person may be required to walk, push or pull objects, bend, squat, reach, or kneel. Vision abilities required by this job include close vision for extensive reading.     The work conditions described here are representative of those an employee encounters while performing this job. This person will typically work indoors in a heated and air-conditioned office, with a mixture of natural, incandescent and fluorescent light with low to moderate noise levels.
