    Description

    The Choice is seeking a proactive temporary Annual Meeting Support Assistant to support the coordination efforts for a major medical association's annual meeting from late October through February. This role is crucial in assisting with faculty and abstract management in the busy lead-up to the Annual Meeting scheduled for March 29–31, 2025.

    Key Responsibilities:

    • Cold call and email up to 1,000 invited faculty members to assist with any technical issues related to accepting their invitations.
    • Provide customer service support for up to 7,700 abstract/case submitters, fielding questions and troubleshooting issues.
    • Assist the abstract manager with proofing of up to 5,000 pages of accepted abstracts/cases.
    • Support the review and approval of up to 1,000 faculty disclosures.
    • Provide general assistance to the overall meeting coordination team, which may include logistics, expo, marketing, and compiling/proofing various programmatic materials.
    • Collaborate with the Activity Management team on ad-hoc projects as needed.

    Requirements:

    • Comfortable with cold calling and willing to research additional contact information for faculty members as needed.
    • Proficient in navigating member databases and faculty management systems, including SalesForce and other relevant platforms.
    • Previous customer service experience to effectively support thousands of individuals with questions and problem-solving.
    • Excellent verbal and written communication skills.
    • Strong attention to detail, particularly when proofing documents and materials.
    • Prior experience relevant to this role, including high-volume calls, customer service, data tracking in spreadsheets, and working in various platforms/databases.

    Previous experience in association work is a plus, but not required.

    Schedule and Location:

    This is a temporary position that will start in late October and run through February. Candidates must be available to work in a hybrid capacity, with some on-site presence required in Northwest DC.

    Salary: $20-22/hr
