    Description

    Leading not for profit, global media company that creates, manages, and distributes high-quality content across multiple platforms is seeking a highly organized and proactive Executive Assistant to support C-Level Executive. The ideal candidate will be a detail-oriented professional who can manage multiple tasks in a fast-paced, dynamic environment. This role requires excellent communication skills, a high level of discretion, and the ability to handle confidential information with integrity.

    Location: Midtown Manhattan

    Payrate: $48/hr

    Hybrid, Maternity Leave Role

    Hours are Monday - Friday, 9am to 5pm (Must have flexibility to start earlier if needed)

    Key Responsibilities:

    Administrative Support:

    • Manage the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
    • Prepare and edit correspondence, presentations, reports, and other documents as required.
    • Coordinate internal and external meetings, including agenda preparation, meeting logistics, and follow-up actions.

    Communication Management:

    • Serve as the primary point of contact between the executive and internal/external stakeholders.
    • Screen and prioritize incoming communications, including phone calls, emails, and mail.
    • Draft and proofread correspondence on behalf of the executive.

    Project Coordination:

    • Assist in the planning and execution of special projects and events.
    • Coordinate cross-functional initiatives and collaborate with various departments to ensure project success.
    • Track progress on key projects and provide regular updates to the executive.

    Travel and Expense Management:

    • Arrange complex international and domestic travel, including flights, accommodations, and itineraries.
    • Prepare and process expense reports in accordance with company policies.

    Confidentiality and Discretion:

    • Handle sensitive and confidential information with the utmost discretion.
    • Maintain a high level of professionalism in all interactions.

    Office Management:

    Ensure the smooth operation of the executive’s office

    Liaise with other administrative staff to provide backup support when necessary.

    Qualifications:

    • Bachelor’s degree or equivalent experience.
    • Minimum of 3 - 5 years of Executive Assistant, preferably in a global or media-related environment.
    • Excellent organizational and multitasking skills with a strong attention to detail.
    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook),Hummingbird and other relevant software.
    • Exceptional written and verbal communication skills.
    • Ability to work independently and as part of a team.
    • High level of integrity, professionalism, and discretion in handling confidential information.
    • Flexibility to adapt to changing priorities and manage multiple tasks under tight deadlines.

    Preferred Qualifications:

    • Experience working in a global media or entertainment company.
