    Position Summary

    The Recruiting Specialist's primary responsibilities are to support the hiring and onboarding of new staff at the Isabella Stewart Gardner Museum, with a critical focus on developing candidate pipelines and screening applicants for the Security and Visitor Services departments. Additionally, the Recruiting Specialist oversees new staff onboarding and the job description library.

    Essential Functions and Primary Responsibilities

    Staffing (with Primary Focus for Security and Visitor Services)

    • Develops annual staffing needs plan with Security and Visitor Services managers; checks in regularly with Security and Visitor Services managers for ongoing hiring needs.
    • Sources candidates and conducts first screens for frontline Security and Visitor Services positions ensuring a large and diverse pool of fully qualified candidates for all shifts. Arranges follow up interviews with hiring managers and search teams; sends calendar invitations and arranges meeting space and/or videoconference links. Registers visitor access for candidates, greeting candidates and providing for their hospitality while on site at the Museum.
    • Develops competencies, interview structures, and questions designed to support the hiring of an excellent staff, to encourage retention, and to avoid bias during the search process.
    • Communicates with candidates respectfully and with care at appropriate points during the hiring cycle, to help them understand the Museum's hiring process, timing, and hiring decisions.
    • Coordinates offers with Security and Visitor Services hiring managers; coaches hiring managers on salary and benefits discussions.
    • When appropriate, provides compensation and benefits information to job candidates.
    • Schedules and coordinates interviews for other open positions when requested by the Director of Human Resources.

    Onboarding

    • Works with hiring managers and department heads to establish start dates, required hardware and software, and seating assignments for new employees. Coordinates computer needs and desk assignments with IT and Facilities staff.
    • Greets new staff on their first day with a warm, hospitable welcome.
    • Coordinates onboarding of all new employees by creating preliminary and final offer letters, initiating background check process, conducting new hire orientations for staff, providing appropriate orientation and benefits materials, explaining benefits package and important ISGM policies, and assigning success partners (staff guides) to newly hired staff to ensure integration to their teams and to the Museum.
    • Identifies and trains success partners.
    • Maintains communication with Finance and Human Resources Coordinator for new employees' initial payroll.
    • Together with the Director of Human Resources, the Human Resources Operations Manager, members of the Voices team, and others, develops a robust and comprehensive onboarding program for new ISGM staff.

    Job Descriptions

    • Reviews and edits job descriptions prior to posting.
    • Maintains job description library.
    • Coordinates with department heads and supervisors to ensure that every member of staff has a job description that's updated at least biennially.

    Other

    • Tracks all recruiting-related activity and communications in HRIS (currently Paylocity) and in HR-specific server folders.
    • Performs other duties as assigned.

    Required

    • Bachelor's degree.
    • 2 or more years' previous recruiting and/or HR experience such as sourcing candidate pools, screening and interviewing for non-exempt and exempt positions, developing interview questions (including behavioral interviewing), etc.
    • Experience with a recruiting database or other HR-related database.
    • Strong computer skills, especially with Google Workspace. Prior people- or customer service-focused database and reporting experience (e.g., HRIS, CRM).
    • Commitment to advancing the ISGM's strategic goals and values.
    • Exceptional communication skills (written and verbal); excellent proofreading and editing skills.
    • Strong interpersonal skills and the ability to interact with staff across departments and at all levels.
    • Highly organized with exquisite attention to detail and timeliness.
    • Able to collaborate with staff at all levels and across departments.
    • Ability to handle confidential information with discretion.
    • Legal authorization to work in the United States.

    Note: All ISGM positions require a pre-employment background check, which may include verification of employment history, education, financial, and criminal records.

    Desirable

    • Degree in human resources, non-profit management, or business.
    • Museum and/or non-profit experience.
    • Experience with Paylocity, especially the Recruiting module.
    • Understanding of non-profit benefits packages.
