    Position Highlights

    The Opportunity

    Perigee Fund seeks a Grants Manager to join its Operations Team, taking the lead on end-to-end grants processing via the GivingData grants management system as well as guiding our knowledge management efforts. The ideal candidate will have a love for data and systems and enjoy being the “super user” of the grants management system, find satisfaction in solving problems, value consistency but are responsive to the need for adaptation, is creative about finding paths to ease administrative burdens for our grantee partners and staff, have a strong grantee service orientation, and is committed to our vision.

    This position reports to the Director of Planning and Operations and will collaborate across teams: Operations, Programs, and our administrative partners at the Seattle Foundation. Perigee Fund is a supporting organization of the Seattle Foundation, which administers many of Perigee’s back-office functions including grant payments. While Perigee maintains a separate office and external identity, Perigee employees are also Seattle Foundation employees.

    This position will not have any direct reports.

    Essential Duties & Responsibilities:

    Grant Administration & Execution

    • Proactively manage all aspects of the grant administration process in GivingData from pre-to-post award to include tracking grant approvals, reviewing proposals and budgets for legal and financial compliance, preparing and executing grant agreements, and managing grantee progress reporting.
    • Manage request for proposal processes in GivingData to include developing custom applications, reviewing submissions for eligibility and completeness, and preparing reviewer packets.
    • Serve as the liaison with the Seattle Foundation grants department, proactively developing and managing an effective working relationship to ensure timely and accurate payments. This includes assisting as needed with grantee electronic funds transfer enrollment, verifying grantee payment information, and providing documentation to support contingent payments.
    • Manage the tracking of and reporting associated with incoming grants from other funders.
    • Convene a small ad hoc working group to continuously improve grants management processes.

    Grant System Management

    • Lead ongoing enhancements and upgrades in GivingData, such as additional applications and integrations with other technologies/software.
    • Propose and implement workflow improvements in GivingData as needed.
    • Serve as point of contact for the GivingData relationship, to include negotiating annual contract renewal and tracking client service hours and utilization.
    • Participate actively in the GivingData community forum to connect and engage with peer organizations for knowledge sharing and technical support.

    Technical Assistance & Training

    • Support grantees and applicants in accessing and completing applications/reports in the GivingData Grantee Portal including responding to inquiries and troubleshooting as needed.
    • Lead ongoing training for Perigee staff, as well as onboarding efforts for new staff to include developing a comprehensive training on the GivingData platform.
    • Provide guidance to grantees, applicants, and staff on grants process questions such as fiscal sponsorship, organization status, legal requirements, grant agreements, or unique documentation needs.

    Data Analysis & Knowledge Management

    • Design, implement, and generate real-time analytics (e.g., reports to track portfolio spending, inform budgeting, and answer planning, strategy, and IRS reporting questions.)
    • Track and manage annual spending pipeline, working in close partnership with the Director of Planning and Operations and the program team.
    • Assist in designing knowledge management framework to gather and connect insights from grantee data that inform learning and decision-making across our portfolio.
    • Ensure existing tools (e.g., GivingData learning and evaluation module, grantee reports, etc.) are strategically used to capture and understand data for learning purposes.
    • Coordinate with the Director of Communications to manage and update the contact database, as well as maintain the grantee list on the website.
    • Track grantmaking trends and changes in the field over time.

    Requirements

    • Minimum 5 years of experience using a grants management system to administer grants or contracts. Preference for significant relevant work experience (10+ years), GivingData experience, and experience managing a contact database or CRM system (e.g., HubSpot, Salesforce).
    • Proficiency with Microsoft Office Suite, administrator-level database skills, and the ability to learn new applications and tools quickly. Basic coding experience a plus.
    • Proven process management skills and ability to own and meet deadlines.
    • Excellent attention to detail and commitment to accuracy and consistency.
    • Strong creative and technical troubleshooting skills.
    • Solid data management, analytics, and reporting experience.
    • Understanding of tax rules for public foundations and charities, specifically 501(c)(3) compliance; 501(c)(4) compliance knowledge a plus.
    • Experience working within a social sector and/or business environment, and ability to work effectively in a small collaborative team.
    • Commitment of service to grantees and providing the best possible grantee/applicant experience with Perigee Fund. Open, flexible, and culturally and administratively competent when working with both diverse, entrepreneurial organizations, and small groups within large, complex institutions.

    Other Considerations

    The position is based in Seattle. Perigee operates in a hybrid arrangement with staff working from the office with required common hours from 9 a.m. to 3 p.m. Tuesdays and Thursdays. Staff may choose to work from home or the office on the other days. All staff must also remain flexible about attending occasional in-person special meetings with advance notice regardless of day of week.

    The position may include occasional travel within Washington and out of state.
