    The Opportunity

    Durham Tech Foundation seeks a detail-oriented and strategic Advancement Operations and Systems Manager to oversee the administrative and operational functions of the Institutional Advancement department of Durham Tech Foundation. This role ensures the efficiency, accuracy, and compliance of all advancement systems while managing scholarship programs, donor database management, financial coordination, and board support. The ideal candidate is an experienced professional with strong technical skills, a collaborative spirit, and a commitment to higher education and nonprofit advancement.

    The Essential Functions

    Database and Program Management

    • Serve as the primary administrator for Blackbaud Raiser’s Edge and Blackbaud Award Management.
    • Develop and implement best practices for data entry, reporting, and analytics to support fundraising and donor stewardship efforts, scholarship applications, and award disbursements while ensuring data integrity, security, and efficiency.
    • Maintain accurate financial records and generate reports and metrics for fundraising campaigns, scholarship funds and awards, board meetings, grant reporting, and donor engagement.
    • Manage the volunteer scholarship review committee and ensure clear communication with applicants, recipients, and donors and serve as the primary liaison with the Financial Aid Office to align scholarship distribution with institutional policies.

    Financial Coordination

    • Execute gift processing, ensuring timely and accurate recording, acknowledgment, and reconciliation of donations.
    • Collaborate with the Director of Finance on financial reporting, reconciliations, and audits.
    • Support accounts receivable and accounts payable processes related to Institutional Advancement.
    • Provide financial insights through fundraising reports and metric analysis for stakeholders.
    • Serve as secondary support contact for the financial accounting database, Sage Intacct.

    Advancement Operations & Board Coordination

    • Act as the primary liaison for the Durham Tech Foundation Board, coordinating meeting logistics, material preparation, and documentation.
    • Facilitate communication with individual and corporate donors, prospective donors, granting agencies, and community partners.
    • Ensure timely and strategic donor acknowledgment and stewardship efforts.
    • Organize key meetings, events, and special initiatives to support Institutional Advancement objectives.
    • Support additional duties as assigned by the VP of Institutional Advancement and/or College President.

    Additional Preferred Attributes

    Minimum Qualifications

    • Bachelor’s degree from an accredited institution.
    • At least five years of experience in advancement operations, nonprofit administration, or a related field.
    • Three years of experience managing donor databases/CRM systems (Raiser’s Edge, Academic Works, Salesforce, or similar).

    Preferred Qualifications

      • Experience in higher education advancement.
      • Experience in accounting, accounts receivable, and gift management.

    Knowledge, Skills, & Abilities

      • Strong interpersonal skills with the ability to build positive relationships across the college and the community.
      • Excellent written and verbal communication skills.
      • Detail-oriented with a commitment to accuracy and efficiency.
      • Ability to work independently and collaboratively within a team.
      • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and proficiency with advancement databases (Blackbaud’s Raiser’s Edge and Award Management.)
      • Strong project management skills, with the ability to juggle multiple priorities.
      • High level of confidentiality, discretion, and sound judgment in working with donors and stakeholders.
