    As a leader in the nonprofit fundraising space, we are growing and are looking for an experienced Senior Payroll & Benefits Specialist to join us. This role is essential for managing the payroll process, overseeing benefits administration, and ensuring compliance with payroll and benefits laws. The ideal candidate will bring extensive payroll experience, a solid understanding of multi-state payroll laws, and a keen eye for process improvement.

    Key Responsibilities:

      • Payroll Management:
      • Oversee the preparation and processing of semi-monthly multi-state payroll for 80+ employees.
      • Reconcile Paid Time Off (PTO), analyze payroll discrepancies, and provide explanations for variances between payroll periods.
      • Collaborate with managers to ensure proper approval of timecards and time-off requests.
      • Coordinate off-cycle payrolls and manage garnishments, severance pay, bonuses, and other special payroll scenarios.
      • Ensure compliance with tax withholding rates, tax filings, and multi-state payroll laws.
      • Prepare W-2 forms and manage payroll records and documentation in SharePoint.
      • Address employee inquiries regarding payroll, benefits, and demographic information updates.
      • Benefits Administration:
      • Onboard new employees into payroll and benefits software (Paylocity, Employee Navigator) and provide orientations on benefits plans and payroll software.
      • Distribute benefits enrollment materials, determine eligibility, and manage 401K enrollments and contributions.
      • Lead the annual open enrollment process, managing benefits eligibility and changes.
      • Work with brokers to facilitate benefits continuation for separated employees.
      • Oversee employee leave (FMLA, military leave, unpaid leave), ensuring compliance with policies and regulations.
      • Payroll & Benefits Compliance:
      • Stay current on multi-state payroll laws and benefits provisions, ensuring compliance with applicable regulations.
      • Update payroll systems and processes as needed to reflect legislative changes.
      • Liaise with payroll software support to ensure system accuracy and compliance.
      • Partner with HR and Finance teams to conduct regular internal audits and resolve discrepancies.
      • Training & Support:
      • Lead training sessions for staff on Paylocity features, payroll best practices, and company policies.
      • Provide guidance to employees on payroll and benefits-related matters, including self-service options.
      • Additional Responsibilities:
      • Assist with audits by providing necessary payroll and benefits documentation.
      • Maintain and update standard operating procedures (SOPs) for payroll processes.
      • Keep job descriptions up-to-date in payroll software and manage the holiday calendar.

    Qualifications:

      • Skills & Abilities:
      • Extensive knowledge of payroll functions, payroll taxes, internal controls, and multi-state payroll laws.
      • High level of proficiency with mathematical calculations, including accruals, variances, and payroll forecasting.
      • Proven ability to manage multiple tasks, prioritize effectively, and meet deadlines.
      • Excellent attention to detail and strong analytical and problem-solving skills.
      • Proficiency in payroll software/HRIS, particularly Paylocity, and experience with payroll system integration.
      • Ability to handle sensitive payroll and benefits information with integrity and confidentiality.
      • Strong communication skills and ability to work collaboratively with various departments.

    About Our Location:

    We are located south of Dupont Circle in Washington, DC. The position is offered in either a Hybrid, On-site, or *remote capacity.

    • This position will be available remotely for candidates who will be in a work location in which Lautman Maska Neill & Company has an established business entity. We currently operate in Arkansas, Delaware, Florida, Louisiana, Illinois, Maine, Maryland, Massachusetts, New Jersey, New York, Oregon, Pennsylvania, Tennessee, Virginia, and Washington DC.
