    Full-Time Operations & Contracts Coordinator

    About the Organization

    The California Healthy Nail Salon Collaborative (CHNSC) is a statewide grassroots organization that addresses health, environmental, reproductive justice, and other social issues faced by its low-income, female, Vietnamese immigrant and refugee workforce. Founded in 2005, CHNSC emerged in direct response to an increasing concern of nail salon workers who exhibited serious health issues such as chronic asthma, skin rashes, and reproductive health issues.

    Job Title: Operations & Contracts Coordinator

    Reports to: Executive Director

    Position Overview

    The Operations & Contracts Coordinator plays a vital role in maintaining organizational effectiveness and coordinating government contract administration. This position coordinates with day-to-day operations, helps implement efficient systems, and ensures proper administration of contracts, grants, and subcontractor relationships. The ideal candidate will be detail-oriented, organized, and passionate about supporting CHNSC's mission through behind-the-scenes operational and contracts coordination.

    Operations

    • Maintain and improve organizational systems to support smooth daily operations
    • Implement and document operational processes across programs
    • Provide logistical support for HR functions including onboarding and performance evaluations
    • Help foster a collaborative and accountable work culture

    Contracts & Compliance

    • Assist with managing government contract workflows, documentation, and reporting
    • Support contract administration including compliance tracking, invoicing, and reporting
    • Help monitor contract budgets and expenditures, flagging potential issues
    • Maintain organized contract files and documentation
    • Serve as secondary point of contact for government agencies and fiscal sponsor

    Financial & Grants Coordination

    • Prepare and submit financial reports and invoices with supervision
    • Maintain grants database to track reporting deadlines and requirements
    • Assist program staff with data collection for grant reporting
    • Process consultant contracts and payments

    Subcontractor Coordination

    • Support subcontractor management including agreement tracking and reporting
    • Assist with processing subcontractor invoices and payments
    • Maintain organized records of subcontractor communications and deliverables

    Qualifications

    Required Experience & Skills

    • 2+ years of relevant experience in operations, administration, or contract support
    • Strong organizational skills with ability to manage multiple tasks and deadlines
    • Proficiency with Google Suite, Excel, and basic database systems
    • Excellent attention to detail and problem-solving skills
    • Effective written and verbal communication skills
    • Ability to work both independently and collaboratively

    Preferred Qualifications

    • Commitment to social justice values including gender, racial, and economic justice
    • Experience with nonprofit operations or government contracts
    • Familiarity with Bill.com, Slack, or Airtable
    • Interest in process improvement and systems development

    Work Environment / Physical Demands:

    • This position is hybrid out of CHNSC's office in Oakland or Garden Grove. Will consider remote candidates in CA and outside of CA if not local to these areas
    • Able to work on a computer, including sitting at a desk, for extended periods of time with or without reasonable accommodation.
    • Manual dexterity to operate a keyboard.
    • Able to see or read a computer screen and printed material with or without vision aids
    • Able to speak clearly and in audible tones on the phone and in-person and be understood by others.
    • Able to hear and understand speech, including on the telephone.
    • Able to understand and follow oral and written instructions.
    • Able to occasionally lift objects weighing up to 10 pounds.

    Expected Hours of Work:

    40 hrs/week.

    Travel

    May require occasional travel for retreats or convenings.

    Compensation

    This is an hourly position and non-exempt. The hourly rate ranges from $28.85 - $36.06, equivalent to an estimated salary range of $60,000 - $75,000 per year, depending on experience.
