    POSITION: Data & Systems Specialist

    LOCATION: Hybrid, based in New York City. 

    DETAILS: Part-time, 24 hours per week

    DEPARTMENT OVERVIEW: 

    This position is part of The Moth’s Finance and Administration department, which oversees the organization's financial, human resources, archives, and data systems strategy while also supporting administrative tasks such as office management, IT, legal, and insurance. The team's main goal is to optimize The Moth's resources, nurture its talent and work culture, maintain organizational data and archives, improve operational efficiencies, and minimize risk exposure whenever possible.

    The Archives team, a part of The Moth’s Finance & Administration department, is responsible for managing a database containing over 30,000 stories from The Moth’s 27-year history. This includes audio recordings, videos, and photos from live events. Archives also maintains The Moth’s Salesforce CRM and ensures its integration with multiple platforms such as Marketing Cloud, Blackthorn, and Classy, in addition to supporting data consistency and system performance across the organization.

    POSITION OVERVIEW: 

    The Data Systems & Accessibility Specialist will join the Finance & Administration Department and directly report to the Archivist, who is also our CRM Administrator. We are looking for candidates with a strong understanding of data management principles and experience working with Salesforce CRM, along with skills in data reporting and analysis and Salesforce administration and development. The role involves regular data cleansing, data validation, and implementing data governance policies to ensure the accuracy and reliability of data within The Moth’s Salesforce CRM. Additionally, the Specialist will support the management of the Salesforce CRM and related integrations (including Marketing Cloud, Blackthorn, and Classy) to ensure seamless data flow and system functionality. They will also assist with troubleshooting CRM IT issues and devising creative solutions for CRM enhancement, including advising on and executing additional integrations for the CRM; implementing staff trainings on organizational systems and best practices; pulling nuanced and informative donation and ticketing reports. 

    This position offers a window into how data and software systems influence the creative process and the expansion of operations at an award-winning international performing arts non-profit. The Database Systems & Accessibility Specialist will liaise with the various departments at The Moth and their work will tap into the full potential of our data in order to help to broaden The Moth’s reach, improve our customer service, and increase stakeholder engagement across sectors, including audiences, funders, and community partners.

    RESPONSIBILITIES:

    Data Management

    • Conduct regular data cleansing activities to identify and correct data inconsistencies, duplicates, and inaccuracies within Salesforce and other software systems.
    • Collaborate with various departments to understand their data needs and provide support for data-related projects. 
    • Develop and maintain reports, dashboards, and documentation for data hygiene procedures.
    • Regularly monitor and report on data quality metrics and trends to identify areas for improvement and translate findings into impact reports. Frequency will vary based on departmental and organizational needs. 

    Salesforce CRM 

    • Support the management and optimization of Salesforce CRM, including configuration and customization.
    • Assist in managing integrations between Salesforce and other systems, including Marketing Cloud, to ensure data consistency and system performance.
    • Assist with the integration of new data sources and ensure they meet data quality standards.
    • Provide training and support to Salesforce users on data entry and data management best practices, including leading demos and/or coordinating sessions with Salesforce staff. Will vary based on organizational needs. 

    Software Support & Other

    • Collaborate with the Archivist and other stakeholders to troubleshoot system and data issues and to implement system updates and enhancements.
    • Assist with ad-hoc projects related to archival and storytelling data management on an as-needed basis.

    QUALIFICATIONS AND SKILLS:

    Required: 

    • A background in Information Technology, Computer Science, Data Management, or a related field.
    • 5-8 years of experience in data management, data analysis, or a related role, with a focus on Salesforce.
    • Strong understanding of data management principles and best practices.
    • Proficiency in using Salesforce and related data management tools to create, maintain, and analyze dashboards and reports.
    • Experience with Salesforce CRM administration, including configuration and customization.
    • Knowledge of Salesforce integrations and data flow between systems.
    • Excellent attention to detail and a methodical and creative approach to problem-solving.
    • Strong analytical skills and the ability to work with large datasets.
    • Effective communication skills and the ability to collaborate with cross-functional teams.

    Preferred:

    • Salesforce certification (e.g., Salesforce Administrator, Salesforce Data Architecture and Management Designer, Marketing Cloud Administrator) is a plus.
    • Proficiency in any of the following: Marketing Cloud, Blackthorn, Classy, Craft CMS, Airtable, Zapier. 
    • Proficiency in Apex Code and Flows.
    • Knowledge of WCAG standards and guidelines. 
    • IT/Salesforce consulting experience.

    SALARY:

    The hourly rate is $45 per hour.
