    About this role: We are seeking a dedicated and detail-oriented self-starter to provide daily support to the Chief Executive Officer (CEO). This includes helping with daily tasks, preparing for meetings, managing a fast-paced calendar, and supporting coordination and planning of Board meetings. The Executive Assistant (EA) will serve as a liaison for the CEO and will communicate with staff, board members, donors, community leaders, external partners, and others. The ideal candidate will exercise good judgment and navigate a wide variety of situations with ease, composure, and discretion. This person is very organized and has significant experience supporting a leader, a can-do attitude, a problem-solver orientation, and strong written and verbal communication skills.

    EJUSA has 47 extraordinary staff members throughout the country with small offices in Brooklyn, NY, and Washington, D.C. We’re a diverse, passionate team that loves working together to deliver real change. This position reports to the CEO, Jamila Hodge.

    Target Start Date: January 2025

    Location: Fully remote but must be located within the DMV area. This position requires the ability to travel to and access our Washington D.C. office space on a quarterly basis.

    Responsibilities:

    Executive Support

    • Demonstrate exceptional organizational skills by effectively managing the CEO’s dynamic calendar, ensuring optimal time efficiency by prioritizing internal and external requests, and scheduling virtual and in-person meetings.
    • Coordinate and arrange travel for the CEO, board members, and occasionally external partners, including air and ground transportation, as well as hotel accommodations.
    • Support the creation and oversight of the CEO’s executive budget.
    • Support the Board of Directors by regularly communicating with Board members, coordinating logistics and creating materials for all board meetings, events, and board committee meetings.
    • Serve as liaison between the CEO and staff, funders, and external partners, ensuring smooth communication and collaboration.

    Administrative Support

    • Assist with the bi-annual all-staff retreat, coordinating logistics and ensuring a successful event.
    • Proactively anticipate and address potential issues or needs before they arise, taking the initiative to solve problems independently and in a timely manner.
    • Use various software/platforms to support prioritization of CEO’s tasks, submit monthly expenses and reimbursements, and other administrative support.
    • Maintain confidentiality and handle sensitive information and communications with discretion.

    Qualifications:

    • Exceptional organizational skills with the ability to manage multiple tasks, prioritize effectively and keep things running smoothly.
    • Previous support of C-suite level Executives, especially in board management.
    • Excellent written and verbal communication skills, with the ability to interact professionally with a wide variety of internal and external stakeholders.
    • High level of trustworthiness, capable of handling sensitive information with discretion.
    • Meticulous in managing details and ensuring accuracy in all tasks.
    • Strong interpersonal skills to build positive relationships with internal and external stakeholders.
    • Proficient in Microsoft Office suite, Google suite, and Apple applications, knowledge of Click Up and Divvy a plus
    • Ability to collaborate effectively with other team members while also being able to work independently.
    • Ability to travel to our co-working space in Washington D.C. for Board meeting preparation on a quarterly basis.
    • Ability to travel to our bi-annual all-staff retreats, and occasional in-person meetings as needed.
