    We are seeking a passionate and detail-oriented individual to join our team as a Correspondence Coordinator. This role plays a vital part in ensuring smooth communication with our stakeholders, including donors, volunteers, potential partners, beneficiaries, and the general public. You will be responsible for creating and managing various forms of written communication, from thank-you letters to complex reports. By managing the organization's written communication, the Correspondence Coordinator helps to build relationships, promote the AADA's mission, and achieve its goals.

    Responsibilities:

    • Draft and edit professional and engaging correspondence, including emails, letters, and reports, ensuring consistent messaging and brand voice.
    • Develop and maintain templates for frequently used communication formats.
    • Respond to inquiries from donors, volunteers, beneficiaries, and the public in a timely and courteous manner, providing accurate and informative responses.
    • Track and manage correspondence workflow, prioritizing tasks and meeting deadlines.
    • Research and gather information to support the development of comprehensive and informative responses.
    • Proofread and edit all outgoing correspondence for accuracy, clarity, grammar and brand voice.
    • Maintain and update databases and filing systems related to correspondence.
    • Assist with special projects related to communication and outreach, as needed.
    • Other correspondence tasks, as assigned

    Qualifications:

    • Bachelor's degree in English, Communications, or a related field preferred.
    • 1-2 years of experience in a communication or administrative role.
    • Strong written and verbal communication skills, with the ability to tailor language to different audiences.
    • Ability to "Read between the lines" of inquiries and requests to identify underlying needs and concerns.
    • Ability to craft personalized correspondence that resonate with individual recipients, demonstrating a keen understanding of their unique perspectives and preferences.
    • Excellent attention to detail and proofreading skills.
    • Ability to work independently and manage multiple tasks simultaneously.
    • Proficient in Google Suite, Microsoft Office Suite, with experience in email marketing platforms a plus.
