    Primo Center is seeking a qualified Grants Manager to perform pre- and post-award grant administration and general accounting functions. Duties include budget and expenses analysis, periodic invoicing, financial reporting, and communication with program staff, reconciliations, grant budget proposals, grant budget revisions, and completing grant closeout functions required by funders. The Grants Manager will also support the development team in the creation of proposals to foundations, government agencies, and private donors. Our ideal candidate is familiar with grant funding life cycles, is highly organized, and demonstrates the ability to work with a diverse team on a variety of concurrent projects.

Today, Primo Center is a leader in providing family shelter and permanent supportive housing, integrated physical, dental, and mental health care, early childhood development, and supportive services to homeless families in Chicago. The organization has considerable capacity and experience as a provider of services to families affected by extreme poverty and homelessness, assisting more than 1100 people each year with the aid of volunteers, over 90 staff members, and an annual operating budget of nearly $10 million.

    Primo Center works in high-need communities across Chicago, operating facilities in Austin on Chicago’s west side, Englewood on the south side, and Hermosa on the northwest side.

    Position Responsibilities:

    Post-Award Management (60%)

    • Work with the Director of Grants and Finance and the Finance Team to maintain the financial management of grants and contracts in accordance with government regulations, Generally Accepted Accounting Principles (GAAP), and Primo Center’s Financial Policies and Procedures.
    • Prepare grant-related vouchers and invoices. Monitor grant expenditures and assures proper documentation is in place for grant expenditures. Communicate with program directors to ensure expenses are allocated to the appropriate programs and contracts.
    • Responsible for; monitor/track financial status of each grant through its program life cycle. Analyze data in accounting, payroll, and other systems to ensure accuracy and timely reporting for each grant.
    • Responsible for generating grant-related reports, preparing and maintaining grant-related schedules, and assist in the preparation and analysis of financial statements.
    • Prepare and maintain copies of all budgets and budget revisions.
    • Support annual financial audit, grantors’ audits, and grantors’ monitoring site visits, including preparation of schedules, checklists, providing supporting documents, and support program managers and staff with external audits.
    • Communicate with funders and program directors to resolve questions and issues in a timely and professional manner.
    • Assist the Director of Grants and Finance in preparing monthly reporting of budget to actual expenditures and remaining funds for all grants to program managers monthly and ensure funds are managed on an ongoing basis.
    • Provide support to and answer questions from the Primo Center’s accounting team relating to transactional accounting data for assigned areas of responsibility, which could include (but are not limited to), grants, cash management, fixed assets and payables.
    • Assists with monthly close procedures to provide management with timely financial results.
    • Assists with year-end audit preparation.
    • Assist in the preparation of schedules, statements and supporting documentation and participation as needed in fiscal and programmatic audits performed by funders, such as the City of Chicago, State of Illinois, and US Department of Housing and Urban Development.

    Budgeting and Analysis (20%)

    • Collaborate with the Director of Grants and Finance and the operating and program directors to develop annual program budgets, the organization’s overall annual budget, and budgets for proposals submitted to government, foundation, and corporate grant funders.
    • Assist operating and program directors with financial inquiries and provide guidance to these individuals as needed.
    • Develop financial reports or perform requested data analysis as requested by management.

    Pre-Award Proposal Development (20%)

    • Collaborate with the Director of Grants and Finance and the operating and program directors to develop budgets for proposals submitted to government, foundation, and corporate grant funders.
    • Assist the Development Team by providing organizational finance data required for grant proposals, including statement of activities, statement of functional expenses, and other information drawn from annual fiscal audits and the organization’s accounting system.

    Minimum Qualifications:

    • Excellent analytical skills, oral and written communication skills
    • Strong organizational and time management skills
    • Ability to organize and prioritize work appropriately while sustaining to strict timelines
    • Proficiency in the use of Microsoft Office, especially using spreadsheets (Microsoft Excel) to create reports and manage financial data
    • Ability to collaborate and interact with a diverse group of professionals
    • Excellent customer service skills

    Preferred Qualifications:

    • BA/BS degree in related area of study, or 1-3 years of accounting experience
    • Experience with not-for-profit grant accounting
    • Strong understanding of funder contract requirements, policies and procedures and regulatory requirements related to funding
    • Familiarity with monthly grant reporting tools/spreadsheets for monitoring grant expenditures
    • Knowledge of fund-based accounting systems

    Reporting Relationship

    This position reports to the Director of Grants and Finance and collaborates with the Development and Program teams on proposals and grant reporting.
