    Position Overview: 

    The Executive Assistants (EA) will provide high-level administrative support to the Executive Director or a North America Program Director. The EA will be responsible for managing schedules, coordinating meetings, planning and coordinating offsites, handling correspondence, conducting preliminary research, drafting documents, and assisting with special projects and other operational tasks. The ideal candidate will have exceptional organizational skills, a keen eye for detail, and the ability to handle sensitive information with discretion. 

    Key Responsibilities:

    Calendar Management: Efficiently manage calendars, including scheduling meetings, coordinating travel arrangements, and handling logistics.

    Communication: Serve as the primary point of contact for internal and external stakeholders. Draft, edit, and distribute communications on behalf of the Executive Director.

    DEIB: Be committed to actively cultivating a culture of equity, inclusion, and belonging in the workplace

    Meeting Support: Prepare agendas, take minutes, and track follow-up actions for meetings. Ensure the team is well-prepared with necessary materials.

    Project Management: Assist with special projects, including research, report preparation, and event coordination. Track progress and ensure deadlines are met.

    Offsite Planning: Coordinate logistics and scheduling for internal & external offsites

    Document Management: Organize and maintain files, including confidential documents. Ensure information is easily accessible.

    Travel Coordination: Arrange travel itineraries, accommodations, and transportation for the E Leadership Team members as necessary.

    Prepare detailed travel briefs and ensure all travel-related expenses are processed.

    Financial Management: Organize and maintain office finances, including ordering supplies, booking and paying for travel, paying vendors, and tracking other expenses, in accordance with CPI standards, including any use of a procurement card.

    Relationship Management: Build and maintain strong relationships with key stakeholders, including Board members, partners, and other external contacts.

    Drafting Documents: Prepare drafts for communications, reports, and presentations as needed. 

    Qualifications:

    Experience: A minimum of 5+ years of experience as an Executive Assistant or in a similar role, preferably in a nonprofit or mission-driven organization.

    Skills:

    Strong organizational and time-management skills.

    Excellent written and verbal communication abilities.

    Proficiency in Google Suite, including GMail, Docs, and Calendar.

    Ability to handle sensitive information with integrity and confidentiality.

    Strong interpersonal skills and the ability to work well with diverse teams.

    Proactive self starter who is able to anticipate the needs of the Executive Director.

    At the Centre for Public Impact, we are committed to countering pay inequality and recently completed a global compensation benchmarking process to ensure that we're paying our staff fairly and well for the roles that they hold and therefore, salaries at CPI are non-negotiable. Salary rises with experience, which includes work experience, educational experience, and lived experience.

    We are a remote-first organization and anticipate this position will require up to ten days of domestic and international travel (depending on the candidate’s location).
