    Volunteer Position Overview:

    As an Executive Assistant, you will provide high-level administrative support to senior and executive leaders within the organization, ensuring their effectiveness and productivity. You will manage complex calendars, coordinate meetings, and handle various administrative tasks to facilitate communication and streamline operations. With exceptional organizational skills, attention to detail, and proactive problem-solving abilities, you will play a crucial role in supporting the success of the leadership team.

    Key Responsibilities:

    Calendar Management:

    • Manage the calendars of senior and executive leaders, scheduling appointments, meetings, and events, and resolving scheduling conflicts.
    • Anticipate and prioritize leaders' commitments, ensuring alignment with strategic objectives and business priorities.

    Communication Liaison:

    • Serve as a primary point of contact for internal and external stakeholders, screening calls, emails, and correspondence.
    • Draft, edit, and proofread communications, presentations, and reports on behalf of senior and executive leaders.

    Meeting Coordination:

    • Coordinate and organize meetings, including preparing agendas, materials, and presentations, and facilitating follow-up actions.
    • Attend meetings with leaders, take notes, and distribute minutes and action items as required.

    Administrative Support:

    • Provide administrative support, including managing expense reports, processing invoices, and maintaining records and files.
    • Conduct research, compile data, and prepare reports and presentations to support leaders' decision-making and initiatives.

    Skills and Qualifications:

    • Bachelor's degree in Business Administration, Communications, or related field preferred.
    • At least 1 year of proven experience as an executive assistant or senior administrative role, supporting leaders within an organization.
    • Excellent organizational and time-management skills, with the ability to prioritize tasks and manage multiple deadlines effectively.
    • Strong communication and interpersonal skills, with the ability to interact confidently and professionally with stakeholders at all levels.
    • Proficiency in Google Workplace, Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
    • Proficiency in English is required. Proficiency in Spanish at professional level is highly preferred
    • Exceptional attention to detail and accuracy, with a commitment to delivering high-quality work.
    • Discretion and integrity in handling confidential information and sensitive matters.
    • Flexibility and adaptability to meet the changing needs and demands of supporting multiple leaders.
    • Strong problem-solving skills and the ability to think critically and proactively anticipate needs.
    • Ability to work independently with minimal supervision and as part of a team in a fast-paced environment.
