    Description

    The Ophthalmology Foundation is seeking a full-time, remote, Examinations Administrator to help us grow our international online examinations for ophthalmology trainees around the world. 

    In this position, you would work with our volunteers, Technical Consultant, and Executive Director to grow awareness, manage candidates, examination centers, develop our program infrastructure, and expand our marketing efforts to support the exams. You are organized and impact driven, and highly responsive to your colleagues. You will enjoy a flexible and deeply supportive work environment on a small and agile team.

    This role involves heavy email correspondence, database management, program communications via multiple channels, coordination with candidates, staff, and volunteers, and requires a flexibility of approach and ability to work in an international, collaborative environment.

    About the Ophthalmology Foundation

    The Ophthalmology Foundation is a small organization that works with eye care professionals, societies, and organizations to enhance and provide ophthalmic education, with special focus on low-resource and underserved countries. In addition to examinations, our other program areas focus on increasing the teaching competencies of ophthalmic educators and providing fellowships to young ophthalmologists from low-resource countries.     Responsibilities

    The Examinations Administrator, who is based in California and reports to the Executive Director, is responsible for:

    • Managing candidate registrations, payment processor, and database for exams in three subjects, held online in March and September each year.
    • Growing awareness, candidates, and exams centers through marketing and promotions via channels such as social media, exhibition booths, organizational communications, and other strategies.
    • Liaising with, and developing new, volunteer exams centers to host examinations.
    • Implementing and refining organizational examinations infrastructure with colleagues as the program grows.
    • Providing related organizational support, such as program reporting for fundraising and donor recognition, and Board meeting support.

    Qualifications

    We are seeking candidates who excel in collaborative and dynamic environments, are results oriented, and have strong project management skills. You ideally have:

    • Relevant professional experience or equivalent combination of experience, education, and/or training in
      • Medical examinations or standardized knowledge assessments.
      • Candidate, event, or volunteer management, particularly with international stakeholders.
      • Program and project management, proactively improving processes.
      • Professional experience and demonstrated expertise in customer service, email, and social media marketing.
      • Ability to manage contacts within a CRM system.
      • Experience with email marketing and other communications software, particularly Mailchimp.
      • Familiarity and experience with payment processing, database, marketing, and remote work tools, such as Stripe, Salesforce, SurveyMonkey, Google Workspace, Microsoft Office, Box, and Zoom.
    • Professional, effective, and clear written and verbal communication.
    • Driven to take initiative to work toward ongoing improvements and innovations.
    • Strong equity lens, cultural humility, and proven ability to work well in a diverse context.
    • Ability to work independently with a proactive and hands-on approach.

    Bilingual or multilingual skills in any languages and/or with advanced graphic design skills are very much welcomed. Knowledge of ophthalmology and educational assessments are pluses but not requirements.

    Other Details

    This remote, non-exempt, permanent role is full time, with a preference for someone located within the San Francisco Bay Area, California. We are not able to consider international or out of state applicants at this time. Applicants must be based and work primarily in the state of California.

    Working hours are typically Monday through Friday, 9-5 US Pacific, however flexibility to accommodate our international work is needed on occasion. Some travel, including overnight travel, required for event coordination and organizational support (less than 14 days per year).
