    Description

    Job Title: Programs Coordinator

    Location: New York City

    Organization: Magic Box Productions

    Position Type: Part-Time

    Hours: 20 hours/week with some flexibility, $27-$30/hr

    Job Summary: Magic Box Productions, a non-profit media arts education organization that brings media arts programs (video, animation, and photography) to New York area schools, is seeking a Programs Coordinator. Reporting to the Deputy Director, the Programs Coordinator will work with the office staff, the media teaching artists, and the school administrators in planning and coordinating the daily logistics and activities at multiple program sites in partnering schools and community centers.

    The Programs Coordinator will manage the scheduling and implementation of programs, workshops, and events to ensure the smooth operation of our educational activities. 

    Key Responsibilities:

    1. Scheduling and Coordination:
      • Develop and maintain a comprehensive schedule for all programs, workshops, and events.
      • Coordinate with program managers, instructors, and partners to align availability and resources.
      • Resolve scheduling conflicts and adjust plans as necessary.
    2. Communication and Collaboration:
      • Serve as the primary contact for scheduling inquiries from staff, participants, and external partners.
      • Communicate scheduling details and updates clearly to all relevant parties.
      • Facilitate effective coordination between departments to support program implementation.
    3. Resource Management:
      • Ensure the availability and proper allocation of facilities, equipment, and materials for scheduled activities.
      • Maintain an up-to-date inventory of resources 

       4. Administrative Duties:

      • Prepare and manage scheduling documentation and program reports.

       5. Problem-Solving and Support:

      • Address and resolve scheduling issues promptly and effectively.
      • Provide support for coordination during events and programs as needed.

        6. Qualifications:

      • Excellent communication skills, both written and oral
      • Strong organizational skills, with a sharp eye for details and good ‘follow-through’ ability
      • Solid computer skills, primarily Word, Excel, and PowerPoint
      • Self-initiative: must be collaborative, flexible, able to juggle multiple priorities, and be willing to work independently
      • Time flexibility 
      • Integrity and good humor are required
