    Description

    AIM at Melanoma’s Administrative Assistant will fill a necessary and important role in the organization by supporting several of AIM’s staff members specifically and the team generally.

    The AA will focus on supporting AIM’s President, Director of Community Engagement, Walks team, and Vice President. Support for others on the team will be less frequent but still important.

    Foundation-wide goals toward which s/he will also work are to 1) increase the brand awareness of AIM and its ancillary organizations; 2) increase the touch of the Foundation across the melanoma and skin cancer “worlds”; 3) spread the AIM message: “Our work is critical to finding the cure, and we need your support to fund our work.”

    In order to achieve the above goals, the AA will perform general administrative duties, including but not limited to the following:

    • Support AIM’s President by
      • Assisting with planning, scheduling, and coordinating four major meetings that AIM hosts (three global and one national)
      • Making plane and hotel reservations for President for year-round travel
      • Entering data into our Salesforce database
      • Helping with notetaking and calendaring
    • Support AIM’s Director of Community Engagement by
      • Overseeing symposium, podcast, and webinar administrative duties
      • Entering data into our Salesforce database
      • Responding to inquiries from EngageUs email
      • Updating Specialist Listings on websites
      • Tracking and mailing requests for educational materials from medical providers and the public
    • Support AIM’s Walks team by
      • Assisting with administrative and coordination duties for our many walks
    • Support AIM’s VP by
      • Assisting with annual fundraising registration for each state

    The AA will work with other staff members and on other projects as needed. Because the AA will be servicing multiple people, it is critical that the candidate has experience and is comfortable with handling multiple projects simultaneously. Additionally, the AA will:

    • Regularly communicate with AIM team, both individually and on team calls and emails
    • Work independently and track/measure work in an easy-to-share format
    • Manage staff calendar
    • Contribute to team effort by accomplishing projects as needed
    • Handle sensitive information in a confidential manner
    • Reply to email or telephone inquiries in a timely, professional, and polite manner
