    As Executive Assistant to the President and Chief Advancement & Innovation Officer (PCAIO), the successful applicant will be a trusted and strategic member of the team with the experience, motivation, and interpersonal skills to operate in a high-paced environment.

    The Executive Assistant to the PCAIO has the capacity, drive, and professional maturity to serve the organization and its mission. The position requires initiative, attention to detail, and handling information with the utmost discretion, judgment, and confidentiality.

    The Executive Assistant to the PCAIO has exceptional administrative, communications, and technical skills, the ability to plan, coordinate, implement, and assess outcomes for complex projects, and demonstrates professional maturity, judgement, and discernment. 

    Position Type: Full time, exempt employee

    Location and Travel:

    Location is flexible. This position can either be primarily remote or based at Rising Tide Capital’s principal offices in Jersey City, NJ.  If remote, periodic travel to Rising Tide Capital’s offices and other locations in support of the Executive will be required.

    Key Responsibilities:

    • Communication:
      • Facilitation: Serve as a primary point of contact between the PCAIO and employees, ensuring clear and effective written and oral communication.
      • Prepare Documents: Draft, proofread, and distribute internal memos, emails, and announcements, and other communications, including external letters, emails, memos when requested by the PCAIO.
      • Meeting Coordination: Schedule and organize internal meetings, prepare agendas, take minutes, and follow up on action items.
      • Internal & External Memos from the desk of the President and Chief Advancement & Innovation Officer: Work with the Communications team to compile and distribute quarterly, monthly and/or periodic internal and/or external memos and other communications to keep employees, funders, and clients informed about updates and events.
      • Clear Communications: Manage and enhance clear internal and external communications with the PCAIO prior to distribution unless otherwise directed.
    • Projects and Initiatives:
      • Project Planning: Assist in the planning stages of new projects and initiatives, including defining project objectives, scope, deliverables, timelines, and resources. Coordinate with Project Management Team when appropriate.
      • Documentation: Prepare comprehensive project documentation, including project charters, scopes of work, and project plans.
      • Stakeholder Coordination: Coordinate with various Teams/Team Members on behalf of PCAIO to gather requirements and ensure all project aspects are aligned with organizational goals.
      • Monitoring & Reporting: Track project progress (in coordination with Project Management Team when appropriate), prepare status reports and update the executive team.
      • Risk Management: Identify potential project risks and help develop and implement mitigation strategies.
    • Administrative Support:
      • Meeting Coordination: Schedule and organize internal meetings, prepare agendas, take minutes, and follow up on action items.
      • Executive Support: Provide administrative assistance to PCAIO, including calendar management, travel arrangements, and expense reporting.
      • Record Keeping and Archiving: Utilize the organization’s technology, resources, and protocols for record-keeping, follow-up, archiving, and document management.

    Minimum Qualifications:

    • Education: Bachelor's Degree in Business Administration, Communications, or a related field preferred.
    • Experience: 6+ years of experience as an Executive Assistant or similar support role.
    • Skills:
      • Exceptional written and verbal communication skills.
      • Strong organizational, project management, time management skills, and prioritization skills.
      • Proficiency in Microsoft Office Suite 365 (Word, Excel, PowerPoint, Outlook), and Salesforce.
      • Experience in use of Project Management platforms (Asana, Monday.com)
      • Ability to manage multiple projects simultaneously.
      • Consistent attention to detail and problem-solving skills.
      • High level of discretion and professionalism.
      • A proactive and solutions-driven self-starter.
      • Strategic thinker who needs minimum supervision.
