    Description

    ASAP is seeking candidates who have an interest in expanding arts programming to the military community in the greater Indianapolis area.

    As Program Coordinator, you’ll be at the center of our impact. Working closely with our Program Manager, you’ll oversee the details for our arts classes, workshops, and performances from top to bottom. You’ll coordinate with venues and instructors, write program descriptions, and review participant applications.

    You will be the “face-of-ASAP” for the military community at-large and will develop partnerships with local arts partners and veteran / military organizations. In addition, the Program Coordinator will staff programs in the area, including graduation shows, open mics, first classes, and workshops.

    Primary Responsibilities

    • Program Coordination: Oversee all logistics for ASAP’s classes, workshops, and performances in the Indianapolis Chapter, coordinating with instructors, venue and arts partners, and volunteers.
    • Program Communications: Communicate via email, phone, and in-person with applicants, participants, alumni, volunteers, mentors, and instructors to plan and deliver ASAP’s programs.
    • Program Admissions: Manage applications, waitlists, and reminders with program applicants, using ASAP’s Client Relationship Management tool (Salesforce)
    • Outreach and Promotion: Work to increase application numbers for ASAP’s classes, engaging members of the military community. This includes: Identifying local Veteran Service Organizations (VSOs), Military Service Organizations (MSOs), attending recurring meetings with these organizations, and developing relationships with key players. Visit military installations, military housing installations, military-owned businesses and military-frequented businesses and service providers to promote ASAP programs. Represent ASAP by attending resource fairs and other local events.
    • Maintain relationships with partners: Directly interface with instructors, volunteers, participants, classroom and performance venues, and other partners to effectively execute ASAP’s programs and performances.
    • Develop new partnerships: Explore local arts organizations and instructors, classroom/performance venues, colleges, VSOs and veteran owned/supportive-businesses to identify “goodness of fit” with ASAP’s mission.
    • Staff ASAP programs: Attend ASAP classes and workshops to check-in ASAP participants and give ASAP-introduction speech. Run graduation shows, including selling tickets, checking in with hosts / instructors, and introducing the show. Produce community performances 2-3x/year.
    • Manage volunteers: Recruit volunteers to support outreach and promotion efforts as necessary.
    • Internal Communications: Communicate responsively and respectfully with fellow team members to ensure the effective completion of projects and tasks.

    Preferred Qualifications

    • Experience in event planning, communications and marketing, interest in the arts, veteran and military family affairs, mental health.
    • Entrepreneurial; capable of managing time effectively and efficiently, thrives in highly autonomous situations in which they have the opportunity to drive their own work.
    • Familiarity with arts organizations, military community/veterans support organizations and non-profit sector in Indianapolis.
    • Ability to access local military installations.
    • Proficiency in Google Workplace, Gmail, and Slack. Salesforce experience is a plus!

    Work Schedule: 15-20 hours/week, not to exceed 80 hours monthly. Hours can fluctuate based on the schedule of programs, which mostly take place during evenings and weekends. Local travel required.
