Founded in 2008, Jazz Night School offers combos, classes, big bands, and more, in an inclusive environment. All offerings are taught by professional jazz musicians and educators. Empowering life-long learning, Jazz Night School offers a collaborative and accepting space where diverse students gather to develop their skills and connect through the uplifting spirit of jazz.

Jazz Night School is at an exciting and critical stage of organizational evolution, focusing on increasing enrollment and building a sustainable operation. It is in that context that Jazz Night School is seeking an Operations Manager to help maintain current systems and continue to build upon them for this next phase of growth.

Position

The Operations Manager is a full-time position working closely with the Executive Director and other staff and faculty to ensure student satisfaction. Main duties include executing the quarterly registration process, general organization operations, and assisting other staff with various projects. This position requires computer competency, ability to improvise solutions, and enthusiasm for the organization’s mission. 

The Operations Manager will play an integral role in both the everyday workings and future success of Jazz Night School. The goal of this position is to ensure smooth operations for Jazz Night School as a whole, which requires the ability to adapt to a varied range of tasks. 

Responsibilities

The Operations Manager position will:

  • Execute the quarterly registration processes including: 
  • Updating the website with information for the upcoming quarter
  • Updating the dashboard spreadsheet with upcoming quarter details
  • Promoting the current quarter through various marketing channels
  • Monitoring the website and dashboard throughout the process for needed importing issues
  • Working directly with students to answer any questions
  • Processing transfers, withdrawals, refunds, etc.
  • Provide support for the rest of the Jazz Night School team with issues or projects as they arise, including: 
  • Fundraising - Assist with reporting, and the planning and execution of events
  • Marketing - Work with the Jazz Night School team to plan, write, and create promotions and ads via email, social media, radio, etc. Some writing and graphic design required.
  • Program - Assist with scheduling, communication with instructors and students
  • Bookkeeping - Run reports from various databases, work with the bookkeeper to ensure accuracy
  • Work to improve current operations systems

Qualifications

  • Must have computer competency, particularly working with the Google Suite.
  • Preferred experience with online platforms (Shopify)
  • Experience working in databases (Shopify, Little Green Light)
  • Experience working with customers
  • Marketing experience including writing copy and graphic design. Experience using various marketing channels including social media, email, ads (online, print, radio), etc.
  • Event planning experience preferred
  • Ability to fill the ‘Jack/Jill-of-all-trades’ position - assist with many different kinds of work. 
  • Ability to quickly adapt to changing situations and improvise solutions. 
  • Ability to prioritize - view situations both up close and high level to prioritize work.

Compensation

Compensation dependent on qualifications and experience. Salary range: $55,000 - $70,000/yr

Schedule

Full time, 40 hours per week. The work week is generally Monday to Friday with occasional work on weekends and evenings as needed. Position is onsite with possibility of some remote work.
