    POSITION SUMMARY 

    DEPLOY/US is seeking a motivated, experienced professional with an outstanding Executive Assistant track record to join our team in a role that for the right candidate can be part-time (minimum 30 hours to receive benefits, but we’re open to as few as 20) or full-time. This is currently a remote position, but it may transition to hybrid, with some regular time in-person in the MetroWest area. Accessibility to MetroWest is required.

    This position will support DEPLOY/US’ Chief Executive Officer with a range of administrative support, particularly scheduling and travel logistics. The successful candidate will have significant experience and a proven track record supporting senior executives, including in fast-paced, high-level communications, as well as supporting broader organizational administrative needs, including, but not limited to, event logistics, and travel arrangements. 

    RESPONSIBILITIES

    • Providing support to the CEO, including all aspects of scheduling and travel, balancing multiple demands on her time, travel, and discretion with the ability to develop contingency plans and update schedules as needs or airline delays occur.
    • Assisting with receipts/expense reporting, preparing/printing letters for mailing and packaging gifts, event registrations, and other logistical tasks with precision and accuracy. 
    • Contributing to and at times managing event logistics for in-person fundraising parties, dinners, conferences, or convenings and for team retreats.
    • Booking reservations for restaurants, lunch deliveries, venues, catering, hotels, train, flights, taxis, car rentals, etc.
    • Conducting online research using search tools and resources and occasionally making inquiries via phone or email (for example, researching possible event venues, caterers, comparing technical products, or scanning development articles). 
    • Researching and ordering promo materials and gifts.
    • Occasionally assisting with operations, for example address change, audits, and form submissions.
    • Attending team meetings and other phone and/or video calls, as needed.
    • Meeting with the CEO and team for co-working sessions.
    • Driving to make occasional trips around town (Lexington, MA area), for example to the post office or copy shop.
    • Other administrative projects, as may be assigned.

    JOB REQUIREMENTS 

    Reliable car transportation; ability to drive to Lexington, MA and around greater Boston area.

    QUALIFICATIONS

    • Significant experience and proven track record supporting CEOs in fast-paced high-level external communications and scheduling 
    • Inspired by and dedicated to DEPLOY/US’ mission of advancing ambitious, bipartisan U.S. climate leadership, as well as DEPLOY/US’ unique strategy
    • Exceptional personal integrity, discretion, a strong work ethic, and a continuous learning and self-improvement orientation
    • Exceptional attention to detail and organizational skills
    • Ability to successfully work as part of a remote, mission-driven, bipartisan team
    • Versatility and agility to adapt to changing priorities throughout the day 
    • Must be eligible to work in the United States

    COMPENSATION

    This can be a part-time or full-time position for the right candidate. Minimum schedule is 20 hours per week between 10 and 2 p.m. To receive DEPLOY/US’ generous benefits package, the candidate must work a minimum 30 hour per week schedule. Competitive compensation commensurate with qualifications and experience.
