    The organization: Poder Latinx is a civic and social justice organization dedicated to building and strengthening the political power of the Latinx community nationwide. The organization leads an integrated voter engagement program where all aspects of voter engagement, issue-based campaigns, leadership development, voting reform, voter protection, and narrative change form a continuous cycle of political engagement and consciousness. Through our work, Poder Latinx empowers and equips the Latinx community to become agents of change.

    With field programs in six states (FL, AZ, GA, CA, WA, TX), Poder Latinx is entering an exciting period of growth. This involves investing in strong internal operational infrastructure, organizational planning, and internal processes to enable effective collaboration across the organization.  

    The Position:

    The Operations Director will oversee Poder Latinx’s operations, administration, human resources, and legal compliance work as part of a growing national team. This role will lead the design and implementation of policies, processes and systems to effectively deliver the organization’s day-to-day efforts. As part of the Senior Leadership team, the Operations Director will help build Poder Latinx’s sustainable and progressive infrastructure for the long-term. 

    Key Responsibilities:

    Human Resources Operations (20%)

    With support of the Operations Manager and Tides Advocacy, oversee and manage all HR administrative processes for a staff of 30+ people, and design effective vendor management practices. 

    • Provide oversight of payroll services to ensure accurate administration 
    • Serve as the primary point of contact for all internal HR-related matters, and primary liaison with external HR service providers. 
    • Support managers in their supervisory roles, staff management, and workforce planning. 
    • Oversee benefit management with fiscal sponsor, and identify new offerings as the organization deepens its work. 
    • Manage the hiring of new staff members, including the design of recruitment, hiring, and staff transitions. This includes reviewing and finalizing accurate job descriptions and job postings.
    • Oversee compensation planning and salary administration, including conducting compensation audits and working with the leadership team on salary changes.
    • Oversee performance management, including annual performance review, staff introductory periods, and staff development goals. Help to establish standard, consistent feedback processes across the organization. 
    • In close partnership with Tides Advocacy, update the organization’s personnel policies on a regular basis. Continuously improve the organization’s people and culture policies and practices, consistent with the organization’s social justice values. 

    Organizational Infrastructure (30%) 

    • Oversee all nonprofit infrastructure and technology platforms across state offices in Georgia, Florida, Texas, California, Washington, and Arizona.
    • Help develop implementation models for new programs, with a focus on administration, finance, legal and HR. 
    • Identify and address technological and administrative systems needs.
    • Lead operations planning and design, including assessing current and future infrastructure priorities, and ensuring continuous improvement of Poder Latinx’s administrative, financial, and operational systems. 
    • Develop a streamlined process for operations support requests from PL’s programs and communications departments (e.g., event operations). 

    Operations and Finance Administration (35%)

    • Lead annual budgeting process and collaborate with Operations staff and budget managers on fiscal year planning. 
    • Ensure that Poder Latinx’s Executive Director has consistent access to accurate, timely and critical financial information.
    • Help build Poder Latinx’s financial management infrastructure and team to effectively manage accounts payable, accounts receivable, and financial administration workflows and policies. 
    • Support the operations team to effectively manage operations, finance and legal functions across Poder Latinx’s 501(c)(3) Education Fund, 501(c)(4) programmatic entity, and PAC. 
    • Serve as a primary point of contact for the organization’s fiscal sponsor to ensure effective day-to-day operations, including vendor payments, contracts, and staff reimbursements. 
    • Provide oversight for the vendor management process, including contract development and approvals, as well as invoicing and payment schedules. 
    • Oversee operations support for state offices, including fulfilling equipment and facilities requests. 

    Compliance (10%) 

    • Maintain awareness of relevant state and local laws, and ensure employment as well as programmatic compliance across six states. 
    • Shape Poder Latinx’s compliance guidance for staff and vendors. 
    • Oversee state and lobbying registrations, FEC reporting requirements, and insurance. 

    Cross-functional collaboration (5%) 

    • Support financial planning and management on an as needed basis, including through the organization’s annual budgeting process, financial reporting, and bank reconciliation. 
    • Other duties as needed.

    Essential Qualifications

    • 5+ years of experience in operations or human resources roles, preferably in a nonprofit advocacy organization, or in a comparable fast-paced setting. 
    • Demonstrated ability to set up processes, systems, and workflows, ensure adoption, and continuously improve them.
    • Experience in administering complex policies and procedures. 
    • Knowledge of and experience working with key technology platforms and tools, including Google Suite, Slack, Zoom, Hustle, VAN. 
    • Excellent written and verbal communication skills. 
    • Ability to exercise sound judgment to manage sensitive and confidential matters.
    • Ability to organize and prioritize a complex work plan with shifting details. Exceptional time management capacity. 
    • Strong analytical and research skills; ability to research, learn, and make recommendations on technology, operational policies, compliance, HR and organizational infrastructure priorities. 
    • Strong problem solving capacity. 
    • Strong understanding of and commitment to Poder Latinx’s vision and mission. 

    Preferred Qualifications

    • Experience with supporting operations across multiple geographies. 
    • Experience coaching team members in policy adoption and staff development. 
    • Experience working across multiple entity types (501c3, 501c4, PAC). 
    • Experience with the nonprofit fiscal sponsorship model.

    Bilingual English/Spanish (written and oral) skills are necessary.

    The salary range for this position is $80,000 - $90,000 commensurate with experience.
