SUMMARY

The Program Logistics Coordinator supports the Professional Exchanges programs, which are sponsored by the U.S. Department of State. The Professional Fellows Programs, Business Leaders Programs, and other professional exchanges provide young professionals from Southeast Asia, Europe, and Central Asia with experience in individualized fellowships in the United States on governance, economic empowerment, and innovation related themes. Fellows are placed in month-long fellowships in U.S. government offices, state legislatures, city councils, universities, business, incubators, and NGOs across the U.S. The Program Logistics Coordinator provides essential program and administrative support to the Professional Fellows Programs teams with a focus on program logistics. The position reports to the Program Manager. The position is hybrid, with two days a week in person, and based out of the Washington, D.C. office.

 

RESPONSIBILITIES

Provide administrative and logistical support for the program including but not limited to:

  • Coordinating the J-1 visa process international travel arrangements, and participant enrollment in health benefits plans;
  • Assist with the selection and application evaluation process, and maintain participant records;
  • Assist with coordinating and implementing program events such as arrival orientations, professional study tours, and closing programs;
  • Track and monitor potential U.S. Fellowship hosts and host families;
  • Prepare financial requests, track invoices, and file program expenditures;
  • Compile data and materials for semi-annual reports;
  • Other duties as assigned.


QUALIFICATIONS

  • Excellent administrative and organizational skills;
  • Proficiency in Excel and strong attention to detail;
  • Ability to manage multiple priorities quickly and effectively;
  • High level of interpersonal skills and cultural sensitivity to interact effectively with all levels of participants, staff and program stakeholders;
  • Capacity to work both independently and as a member of a team;
  • Experience coordinating international travel is helpful;
  • Ability and willingness to occasionally work during non-business hours such as weekends and/or evenings as program necessitates;
  • Ability and willingness to travel domestically if needed;
  • Familiarity with the cultures and geography of Southeast Asia, Europe and/or Central Asia countries is helpful.
